Billing Specialist

Full-time, remote position within the Finance team. This role supports schools across the company and works closely with our School Directors and families.

This is a full-time, daytime position with regular business-hour availability required Monday through Friday. Team members are expected to maintain a consistent daily work schedule and be available during standard business hours to collaborate with schools, families, and the Finance team.

Responsibilities

What You Will Do

The Billing Specialist is responsible for the accurate and timely invoicing of tuition to our families. In this role, you will:

• Maintain complete and accurate family records in Procare, including contact information, tuition rates, schedules, and enrollment and withdrawal dates
• Invoice families monthly and weekly based on tuition rates and schedules
• Collect and post family tuition payments on a weekly or monthly basis
• Process changes to family records throughout the month, including schedule changes, added days, and withdrawal dates
• Prorate tuition and payment amounts based on changes that occur during the month
• Monitor past-due balances and follow up with families in a friendly, consistent, and professional way
• Bill and reconcile state childcare subsidy and other third-party payments, ensuring family co-pays are billed correctly
• Partner with School Directors to keep enrollment and billing information aligned and to resolve discrepancies before invoices go out
• Respond to family billing questions by phone and email with clarity, patience, and care
• Support the Finance team with tuition and accounts receivable reconciliations at month end

Competitive Pay and Career Growth

Your experience matters. This position pays $48,000 to $50,000 annually ($23.00 to $24.00 per hour), determined based on your qualifications and years of experience.

Qualifications

Qualifications

• 1 to 3 years of experience in billing, accounts receivable, or customer service
• Excellent customer service and communication skills, with the ability to handle sensitive conversations with families
• Experience with Procare or another childcare management or tuition billing platform preferred
• Previous experience in early childhood education or childcare preferred
• Working proficiency in Microsoft Excel and Outlook
• Strong attention to detail and comfort working with numbers, proration, and basic reconciliation
• Highly organized, dependable, and able to work well in a fast-paced setting
• Ability to handle confidential family and financial information with discretion
• Reliable internet connection and a quiet, dedicated workspace for remote work
• Must be located in Texas, Colorado, Indiana, Illinois, Georgia, Florida, Connecticut, Ohio, North Carolina, South Carolina, or Virginia
