Job Description

The Role:

The Marketing Coordinator serves as a central operational partner across Brand Marketing, Creative Services, Editorial, Social, Partnerships, PR, and Experiential — helping drive organization, coordination, and communication across marketing initiatives.

This role supports the day-to-day workflow management behind campaigns, partnerships, events, PR, and brand activations. Responsibilities include vendor and partner coordination, product procurement support, asset and approval tracking, invoice management, timeline coordination, and cross-functional project organization.

The ideal candidate is highly organized, proactive, detail-oriented, and excited by the worlds of design, interiors, fashion, media and luxury brand storytelling.

Key Responsibilities:

Cross-Functional Marketing Coordination

  • Serve as a central coordination partner across Brand Marketing, Creative Services, Editorial, Social, PR, Partnerships, and Experiential initiatives
  • Support execution and organization of integrated marketing campaigns, partnerships, events, activations, and editorial initiatives
  • Help manage project timelines, approvals, deliverables, scheduling, and cross-functional communication across multiple concurrent initiatives
  • Maintain organizational visibility across projects, ensuring teams remain aligned on deadlines, approvals, next steps, and deliverables
  • Assist in improving operational workflows, tracking systems, and organizational processes to support growing marketing initiatives

Partnerships, PR + Vendor Coordination

  • Coordinate communication with external brand partners, agencies, vendors, talent, PR teams, and collaborators
  • Support partnership and event execution through timeline management, asset gathering, approvals, logistics coordination, and follow-through
  • Manage image, copy, quote, and creative asset requests across campaigns, partnerships, events, editorial, and PR initiatives
  • Help facilitate partnership agreements, routing approvals and coordinating with internal stakeholders as needed
  • Support guest list organization, vendor coordination, shipping logistics, and operational needs for events and activations

Product Procurement + Asset Coordination

  • Support product sourcing and procurement workflows across photoshoots, campaigns, events, partnerships, PR placements, and social/editorial initiatives
  • Coordinate vendor outreach regarding product availability, timelines, approvals, shipment tracking, and returns
  • Maintain organized records of product requests, vendor contacts, shipments, tracking information, and sourcing documentation
  • Assist in streamlining procurement and sample trafficking workflows across teams

Marketing Operations + Administrative Support

  • Coordinate invoice tracking, submission, and follow-through with internal finance and external vendors/partners
  • Help manage documentation, contracts, approvals, and organizational systems across marketing initiatives
  • Support preparation of campaign recaps, presentations, executive summaries, reporting documents, and internal planning materials
  • Assist in maintaining select project trackers, calendars, and organizational tools (Asana, spreadsheets, timelines, etc.) in close coordination with the Brand Operations Manager

Brand Planning + Insight Support

  • Conduct ongoing competitive and market research across design, interiors, hospitality, luxury retail, and media
  • Gather and synthesize customer, campaign, social, and partnership insights to support brand strategy development
  • Assist in preparing campaign recaps, executive summaries, strategic presentations, and reporting materials
  • Monitor emerging design trends, cultural moments, and industry conversations relevant to the Lumens customer

Skills and Experience:

  • 2–4 years of experience in marketing coordination, brand operations, production coordination, partnerships, PR, procurement, or integrated marketing
  • Exceptional organizational and project management skills with strong attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple projects and timelines simultaneously in a fast-paced environment
  • Comfortable coordinating across creative, editorial, marketing, vendor, and partnership teams
  • Passion for design, interiors, architecture, fashion, and luxury storytelling
  • Proficiency in Google Suite, Keynote/PowerPoint, Excel and project management tools such as Asana

Nice to Have:

  • Experience working with luxury, interiors, fashion, hospitality, or editorial brands
  • Interest in brand strategy, customer insights, or cultural trends

What Success Looks Like:

  • Product procurement workflows become more centralized, organized, and efficient across teams
  • Vendor communication and sourcing coordination operate proactively rather than reactively
  • Brand, Creative, Editorial, PR, and Experiential teams gain increased bandwidth for higher-value strategic and creative work
  • Cross-functional initiatives move more efficiently with improved visibility and organization
  • Marketing initiatives are better supported through streamlined coordination and operational consistency
