The Operations Associate, Client Transition & Case Intake (RLS) supports the Operations Manager in driving key operational initiatives that enhance the efficiency and scalability of RLS Legal Services. This role focuses on two core areas: managing the transition of Ryan clients to RLS Legal Services Agreements and supporting the intake of legal cases into Lead Docket and Filevine. The Operations Associate will help maintain and improve digital workflows that leverage Smartsheet, Property Point, Salesforce, Lead Docket, and Filevine, while collaborating with tax consultants, attorneys, and the RLS India team to ensure accurate data management and seamless case processing.

The ideal candidate is detail-oriented, process-driven, and comfortable working across multiple systems to optimize workflows and support a growing legal services operation. This is a fully remote role in the US with very little to no travel.

Duties and responsibilities, as they align to Ryan’s Key Results

  • People: Create a positive team member experience. Demonstrates strong interpersonal/communication skills with professional staff, senior level executives and the community at large. Develops and maintains strong relationships throughout the organization.
  • Client: Responds to client inquiries timely. Works with the President, RLS to develop, deploy, maintain, and/or assess best practices, policies, KPIs, and other strategic initiatives. Anticipates needs of team members. Works with projects and cross-functional teams across the Firm to execute RLS initiatives to drive results and value to customers. Anticipates and navigates obstacles to generate results.
  • Value: Understanding of business needs to help executive leadership define operational strategies. Synthesizes data from different sources to streamline key business processes and drive performance improvements. Designs and creates ad-hoc reporting and analysis. Serves on internal Firm committees. Performs other duties as assigned.

Education and Experience: Bachelor’s degree or equivalent required, MBA preferred. Five years of experience in the professional services industry. Experience at Ryan is preferred, but not required. Legal assistant experience and relevant experience supporting a larger legal firm preferred.

Computer Skills: To perform this job successfully, it is very important that the individual has advanced skills in Microsoft® Smartsheet, Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research. The candidate will be trained in third party software programs used by RLS, including Lead Docket, and Filevine.

Work Environment: Standard indoor working environment. Occasional long periods of sitting while working at computer. Position requires regular interaction with employees at all levels of the Firm, clients, and interface with external vendors as necessary. Independent travel requirement: 5%.

Compensation Pay Transparency: For certain California based roles, the base salary hiring range for this position is $90,000.00 - $118,800.00 For other California based roles, the base salary hiring range for this position is $83,000.00 - $110,000.00 For Colorado based roles, the base salary hiring range for this position is $79,000.00 - $104,500.00 For Illinois based roles, the base salary hiring range for this position is $83,000.00 - $110,000.00 For other Illinois based roles, the base salary hiring range for this position is $79,000.00 - $104,500.00 For Maryland based roles, the base salary hiring range for this position is $79,000.00 - $104,500.00 For Massachusetts based roles, the base salary hiring range for this position is $83,000.00 - $110,000.00 For other Massachusetts based roles, the base salary hiring range for this position is $79,000.00 - $104,500.00 For New Jersey based roles, the base salary hiring range for this position is $90,000.00 - $118,800.00 For New York based roles, the base salary hiring range for this position is $90,000.00 - $118,800.00 For other New York based roles, the base salary hiring range for this position is $75,000.00 - $99,000.00 For Washington based roles, the base salary hiring range for this position is $83,000.00 - $110,000.00.
