Job Description

About the role

IT here has been handled by our owners alongside everything else. We've outgrown that. We're hiring a hands-on IT Administrator to take over day-to-day IT for our internal team of 80+ and become their go-to person for accounts, licenses, tools, and tech support. You'll keep our Google Workspace environment clean and secure, set up and run our help desk, and make sure the tools we already pay for are working for the people using them.

You'll be our only IT person. There is no IT team behind you and no direct reports. You'll do the work yourself, make the call, own the fix, and bring clear recommendations to senior management on the bigger decisions.

This role holds admin access to our internal systems, which contain client-sensitive information, so discretion and care with access truly matter.

What you'll do

  • Day-to-day IT ownership
  • Take over day-to-day IT management from our owners and be the team's first point of contact for anything IT
  • Propose IT policies and acceptable-use guidelines for senior management to approve, with the confidentiality standards our law firm clients expect in mind
  • Build onboarding, help desk, and documentation processes that keep working as we add staff
  • Accounts, users, and licenses
  • Administer Google Workspace day-to-day: users, groups, shared drives, sharing settings, and security defaults
  • Manage accounts, licenses, and access across our internal platforms, including Slack, our recruiting CRM, project management, HR, and time-tracking tools
  • Own onboarding and offboarding for the internal team: access ready on day one, fully removed on the last day
  • Keep an accurate inventory of users, roles, access levels, and licenses
  • Enforce MFA, password management, and role-based access, and run periodic access reviews
  • Remote support and help desk
  • Support our internal team across Latin America, the Philippines, South Africa, and the U.S. by chat, video, and remote desktop
  • Troubleshoot tool and account issues on team members' personal computers
  • Give on-demand help to placed legal professionals who are stuck setting up a tool, installing software, or dealing with a slow computer (never inside client or law firm systems)
  • Select, set up, and run our help desk platform: triage, response times, and tracking
  • Build a self-service knowledge base from the questions people actually ask
  • Tools and training
  • Review our SaaS tools and subscriptions to find overlaps and unused seats, and track renewal dates
  • Bring cost-saving recommendations, with numbers, to senior management
  • Spot support patterns that show who needs training, and on what
  • Create short guides, how-to videos, or quick sessions that help a non-technical team use our tools well
  • Handle the technical side of domain and subdomain setup (DNS, email records) for our marketing team

Who this role is for

  • You like order. An out-of-date access list or a license nobody uses bothers you, and you fix it without being asked.
  • You're patient with non-technical people. Our team is recruiters, client success managers, and operations staff. They need help, not jargon.
  • You're comfortable being the only one. You don't need a senior engineer to check your work, and you know when something needs to go to management.
  • You think about cost. You notice when three tools do the job of one, and you bring the numbers.

Who this role is not for

  • Someone who wants to lead an IT team or build an IT strategy function. This is a hands-on seat.
  • Someone who has only worked in an office, with users and devices down the hall.
  • Someone who has worked tickets in a help desk but never set one up or owned it.

What we're looking for

Essential

  • 3–5 years of hands-on IT administration or support in a fully remote or distributed organization
  • Experience as the sole or primary IT person for a remote organization, owning admin and support end to end without on-site access to users or devices
  • Admin experience managing 100+ users in Google Workspace, or equivalent Microsoft 365 tenant administration: non-negotiable
  • Hands-on experience setting up and administering a help desk or ticketing platform (Freshdesk, Zendesk, Jira Service Management, or similar), not just working tickets in one
  • Experience providing remote support with tools like AnyDesk, TeamViewer, or similar
  • Experience managing user accounts and licenses across multiple SaaS platforms
  • Working knowledge of SSO, MFA enforcement, and role-based access control
  • Excellent written and verbal English
  • Strong customer service instincts: patience matters as much as skill
  • Able to work independently and proactively in an async-first environment

Preferred

  • Experience writing end-user documentation or running short trainings
  • Slack administration and integrations
  • Basic DNS knowledge (domains, subdomains, email records)
  • Basic automation skills (Zapier, Make, or similar)
  • Background in legal, professional services, staffing, or BPO environments
  • Familiarity with data confidentiality expectations in legal or other regulated industries

Working at RemoteLegalStaff

Hours: U.S. Pacific business hours, Monday to Friday, starting at 8 a.m. PT. Depending on where you live, that may mean an evening or overnight shift.

We use time-tracking software across our remote team, and you'll help support it.

What success looks like

Success means a service-minded approach: people feel helped, not lectured, and problems get solved before they pile up.

  • By day 30: you have a complete inventory of our internal users, tools, licenses, and access levels, and you know where the biggest gaps are.
  • By day 60: our help desk is live and people use it. You've shared a first list of duplicate tools and unused licenses with senior management.
  • By day 90: MFA is enforced across our core platforms, onboarding and offboarding run from documented checklists, and the knowledge base covers our most common requests. You've flagged where the team needs training and delivered the first sessions or guides.
