Job Description

This is a remote position.

We are seeking an organized, dependable, and professional Insurance Administrative and Client Support Specialist to support an established employee benefits company. This full-time remote position combines CRM maintenance, administrative support, and client phone coverage.

The ideal candidate is detail-oriented, comfortable learning new systems, and able to communicate professionally with clients while handling sensitive information responsibly.

Responsibilities

  • Maintain and update client information in Agency Smart
  • Keep contact information, plan details, and other records accurate and current
  • Support data entry, record management, and general administrative tasks
  • Assist with Employee Navigator and Zywave
  • Answer and triage incoming client calls
  • Assist with basic inquiries, including insurance ID card requests and general benefits questions
  • Route complex questions to the appropriate internal team member
  • Communicate with clients through Microsoft Outlook and Teams
  • Handle confidential client and healthcare-related information responsibly
  • After completing training and gaining experience, help generate benefit comparisons for employer renewal presentations
  • Complete additional administrative assignments as needed

Qualifications

  • Previous experience in insurance administration, employee benefits, administrative support, client service, data entry, or CRM management
  • Strong attention to detail and organizational skills
  • Clear and professional spoken and written English
  • Comfortable answering calls and communicating directly with clients
  • Able to learn new software and processes quickly
  • Proficient with Microsoft Office, Outlook, and Teams
  • Dependable, self-directed, and effective in a remote environment
  • Understanding of HIPAA, confidentiality, and secure data-handling practices
  • Reliable computer, internet connection, and professional home workspace

Preferred Qualifications

  • Experience with employee benefits or health insurance
  • Familiarity with Agency Smart, Employee Navigator, or Zywave
  • Experience preparing plan comparisons or renewal presentations
  • Spanish fluency is preferred but not required

Schedule

Full-time, approximately 35 hours per week

Must be consistently available for phone coverage between approximately 3:00 PM and 5:00 PM Eastern Time

Remaining hours will focus primarily on CRM maintenance, data organization, and administrative support
