An HR Assistant provides administrative and operational support across HR functions, including recruitment, onboarding, employee records, benefits administration, and employee relations.
Key Duties and Responsibilities:
- Administrative Support: HR Assistants handle clerical and administrative tasks such as maintaining accurate employee records, scheduling appointments, recording HR meetings, and managing HR documentation. They ensure that HR processes run smoothly and efficiently.
- Recruitment and Onboarding: They assist with posting job ads, screening resumes, scheduling interviews, performing reference checks, issuing employment contracts, and coordinating new employee onboarding, including orientation and completion of necessary paperwork.
- Employee Relations: HR Assistants serve as a point of contact for employees, addressing inquiries about benefits, payroll, PTO, and company policies. They help resolve minor employee issues and provide guidance on HR procedures.
- Benefits and Payroll Support: They assist with benefits enrollment, manage employee benefits records, and support payroll processes by ensuring accurate time and attendance records.
- Training and Events Coordination: HR Assistants may coordinate training sessions, seminars, and special events such as employee recognition programs, holiday parties, and retirement celebrations.
- Compliance and Reporting: They help ensure compliance with labor laws and company policies, produce HR reports, and support HR managers in policy implementation and data analysis.
Skills and Qualifications:
- Bilingual a plus
- Strong organizational and time management skills to handle multiple tasks efficiently
- Excellent communication and interpersonal skills for interacting with employees at all levels
- Proficiency in HR software, HRIS/HRMS systems, and Microsoft Office
- Basic knowledge of labor laws and HR best practices
- Attention to detail and accuracy, particularly in handling sensitive employee information
- Educational background: typically, a BS degree in Human Resources or a related field
Work Environment:
HR Assistants usually work in office settings, with some opportunities for remote work. They report to HR Managers.
