Job Title: Remote Executive Operations Manager & Strategic Projects Director
Job Type: Full-Time | Independent Contractor
Schedule: 8:00 AM – 5:00 PM PST
About the Role:
A highly experienced Executive Operations Manager & Strategic Projects Director is needed to provide executive-level operational support to a fast-paced legal, nonprofit, and advocacy organization. This role serves as a strategic right hand to leadership, overseeing complex projects, executive operations, stakeholder coordination, and organizational initiatives across multiple business functions.
The ideal candidate is a proactive operator who can independently manage priorities, build systems, coordinate high-level initiatives, and drive execution with minimal oversight. This position requires exceptional organizational skills, executive presence, sound judgment, and the ability to manage multiple projects while maintaining attention to detail. This is not a traditional administrative support role. The position requires someone capable of thinking strategically, anticipating needs, solving problems proactively, and ensuring key initiatives move forward efficiently.
Key Responsibilities:
- Executive Operations & Strategic Support
- Serve as a strategic partner to leadership across business, legal, and nonprofit initiatives
- Protect executive time through effective calendar, priority, and workflow management
- Coordinate high-level projects and ensure deadlines, deliverables, and priorities remain on track
- Draft executive communications, reports, presentations, and internal documentation
- Anticipate operational needs and proactively implement solutions
- Project & Event Management
- Lead operational planning and execution of conferences, summits, board meetings, and special initiatives
- Coordinate vendors, venues, stakeholders, attendees, and project timelines
- Manage project plans, budgets, logistics, and implementation schedules
- Monitor project progress and resolve operational challenges proactively
- Ensure successful execution of high-visibility events and strategic initiatives
- Operations & Organizational Management
- Build and improve systems, workflows, dashboards, and operational processes
- Develop SOPs, reporting structures, and project management frameworks
- Track organizational metrics, goals, and operational performance
- Coordinate cross-functional initiatives among internal and external stakeholders
- Identify process improvement opportunities and implement scalable solutions
- Stakeholder & Executive Communications
- Act as a professional point of contact for executives, board members, partners, vendors, and external organizations
- Coordinate communications with strategic partners and community stakeholders
- Support board initiatives, coalition activities, and organizational programs
- Prepare meeting materials, summaries, and executive briefings
- Maintain confidentiality and professionalism when handling sensitive information
- Personal & Administrative Operations Support
- Assist with executive travel coordination and logistical planning
- Research, vet, and coordinate service providers and vendors when needed
- Manage personal administrative projects and special requests
- Handle high-level administrative responsibilities that support executive productivity
- Ensure seamless coordination across professional and personal priorities
Qualifications & Ideal Traits:
Must-Have
- Previous experience as an Operations Manager, Chief of Staff, Executive Operations Manager, Senior Executive Assistant, or similar leadership support role
- Strong project management and operational leadership experience
- Experience managing complex projects, events, or organizational initiatives
- Exceptional written and verbal English communication skills
- Strong executive presence and stakeholder management abilities
- Experience creating SOPs, workflows, dashboards, and operational systems
- Excellent organizational, analytical, and problem-solving skills
- Ability to work independently and exercise sound judgment
- High level of discretion and professionalism when handling confidential information
- Ability to thrive in a fast-paced, high-accountability environment

Working Environment:
Fully remote role supporting a U.S.-based solo legal practice. Part-time schedule initially (approximately 20 hours per week) with potential to increase to full-time. Work hours aligned with U.S. business hours (late morning to early afternoon Eastern Time preferred). Collaborative working relationship with the attorney to support daily legal operations. Opportunity to grow into a larger role as the legal practice expands.
