Overview

The Manager of Health Information Management (HIM) & Document Scanning & Imaging Operations is responsible for leading, standardizing, and optimizing enterprise-wide document imaging, scanning, indexing, and record capture operations across all UF Health hospitals, physician practices, and affiliated entities. This position ensures the timely, accurate, and compliant conversion of paper and electronic documents into the electronic health record (EHR), while maintaining regulatory compliance, data integrity, and operational efficiency. The Manager provides strategic and operational leadership for document imaging workflows, vendor management, quality assurance, staffing, productivity, technology optimization, and process improvement initiatives. This role collaborates closely with clinical, operational, information technology, compliance, revenue cycle, and health information management leaders to ensure enterprise-wide consistency and effective health record management. This role may oversee relationships with external document imaging and indexing vendors such as enterprise scanning partners.

Qualifications

Education

• Bachelor’s degree in health information management, Healthcare Administration, Business Administration, Finance or related field.
• Master’s degree preferred.
• Ten (10) years of relevant experience in lieu of a degree.

Experience

• Minimum seven (7) years of progressive healthcare hospital HIM experience.
• Minimum three (3) years of leadership experience managing hospital HIM, document imaging, or health record operations.
• Experience leading multi-site or enterprise wide HIM operations preferred.
• Experience with Electronic Health Record (EHR), Epic required.
• Deep knowledge of healthcare regulatory and privacy requirements.

License/Certification/Registration

• Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) required (minimum).
• Lean, Six-Sigma or process improvement methodologies preferred.

Other Qualifications

• Strong knowledge of HIM operations, medical record management, and document imaging workflows.
• Understanding of EHR document management architecture and record integrity principles.
• Advanced analytical and problem-solving skills.
• Excellent communication and relationship-building skills.
• Strong project management and change management abilities.
• Experience with academic medical centers is strongly preferred.
• Ability to interpret regulatory requirements and translate them into operational processes.
• Ability to manage multiple priorities and lead through organizational change.
