The Opportunity

We are seeking a warm, organized, and proactive Executive Assistant to provide dedicated support to a client service team. The primary focus will be coordinating client meetings across multiple calendars, while also helping the team stay organized and delivering a smooth, thoughtful experience for clients. This is a new position with the opportunity to shape the role and identify additional ways to support the team.

What You Will Do

• Coordinate client meetings and scheduling across the calendars of clients, Client Service Managers, and Advisors.
• Schedule internal meetings and team events.
• Assist with expense reports, office supplies, client gifts, rental-car bookings, and other administrative needs.
• Support mail, shipping and tracking, notary needs, and select recurring client-related tasks.
• Assist with new-hire paperwork and onboarding logistics.
• Partner with the team to anticipate needs, improve organization, and take on additional responsibilities as the role evolves.

• Exceptional organization and follow-through, with the ability to manage changing priorities and complex calendars.
• Comfort using technology and learning new systems; Salesforce experience is helpful but not required.
• A collaborative, service-oriented mindset and a genuine willingness to help wherever needed.
• Previous executive, administrative, scheduling, or client-service experience preferred.
