Job Description

About the company

Futura Identities designs, manufactures, and installs custom signs for businesses across Pennsylvania. Our fabrication shop is Epic Craftings, and the broader brand is Signage.com. Every order moves from quote to production to installation, which means suppliers, schedules, and a lot of moving parts. The company is growing and adding structure and process, and this role is part of how that happens.

The role

You will report directly to the CEO and work mostly with the CEO and a small office team of [team size]. The job is half executive support, half keeping the office and shop administration running. Because we are still building our systems, you will help create and document them, not just maintain them.

What you will do

Executive support

  • Manage the CEO’s calendar and inbox
  • Book travel and prepare for meetings
  • Track follow-ups and keep projects and people on schedule

Office and shop administration

  • Order supplies and work with vendors
  • Keep supply tracking current
  • Document office processes as the company puts more structure in place

What the first 90 days look like

  • Take over the CEO’s calendar and inbox fully
  • Set up vendor ordering and supply tracking
  • Document the first core office processes

Who should apply

We are open to entry-level candidates (0 to 2 years of experience) and mid-level candidates (3 to 5 years). Both are a fit.

No signage experience needed. What matters is organization, calendar and inbox management, clear communication, discretion, and handling competing priorities. We will teach you the signage side: how custom orders move from quote to production to install, materials and fabrication basics, and working with sign suppliers and vendors. Sign-industry familiarity is a nice-to-have, not a requirement.

Must-haves

  • Prior executive or administrative assistant experience (internships and part-time office work count)
  • Strong written communication
  • Comfort with Google Workspace or Microsoft Office
  • Ability to handle confidential information
  • Reliable transportation to the office

Location and hours

This role is fully in-office at [street address], Philadelphia, PA. Hours are Monday to Friday, 9 to 5. Some days start early or run late. Some Saturdays are worked remotely; that is the only remote part of the role.

Benefits

  • Insurance
  • Paid holidays
  • PTO
  • Sick/personal days
