About the role
The Payroll Tax Specialist is responsible for ensuring accurate, timely, and compliant payroll tax operations across multiple states and jurisdictions. This role blends hands-on payroll experience with deep knowledge of employer tax requirements, account registrations, notice resolution, and quarterly/year-end filings. The ideal candidate is detail-oriented, deadline-driven, and comfortable navigating federal, state, and local tax agencies.
What You’ll Do
Payroll Tax Compliance
- Maintain compliance with federal, state, and local payroll tax regulations.
- Monitor legislative and regulatory changes affecting employer payroll tax obligations.
- Ensure accurate calculation, withholding, and remittance of payroll taxes.
- Review payroll runs for tax accuracy, including multi-state and local tax setups.
Cross-Functional Support
- Partner with Payroll, HR, Finance, and external vendors to ensure accurate tax setup and reporting.
- Provide guidance on tax impacts related to employee moves, remote work, nexus, and multi-state operations.
- Assist with audits, data requests, and compliance reviews.
Tax Filings & Reconciliations
- Prepare, review, and file quarterly and annual payroll tax returns (941, 940, state withholding, SUTA, local returns).
- Reconcile payroll tax liabilities to agency filings and internal payroll reports.
- Support W-2 and 1099 year-end processes, including corrections and amendments.
Registration & Account Management
- Register new employer tax accounts (SUTA, withholding, local tax agencies, specialty programs).
- Manage updates to existing accounts (address changes, POA submissions, rate updates, ownership changes).
You’re a Great Fit If You Have:
- 2+ years of payroll experience with exposure to multi-state payroll.
- 3+ years of payroll tax experience (registrations, filings, notices, reconciliations).
- Strong understanding of federal, state, and local payroll tax rules.
- Experience with payroll systems (ADP, Paychex, Gusto, Workday, UKG, etc.).
- Proficiency in reading and interpreting tax notices and agency guidance.
- High attention to detail, accuracy, and documentation.
Bonus Points:
- Experience with high-volume or multi-EIN environments.
- Familiarity with PEO, ASO, or hybrid employer structures.
- Knowledge of specialty programs (SUI rate changes, disability programs, paid family leave, local occupational taxes).
- Prior experience communicating with IRS, SSA, and state/local tax agencies.
