Who We're Looking For

We are looking for a highly organized and proactive Project Coordinator to join our Workflow and Project Management team. This role is ideal for an energetic problem-solver and strong communicator who thrives in a fast-paced advertising or marketing agency environment.

As a Project Coordinator, you will support the planning and delivery of integrated marketing projects, working closely with teams across Client Success, Strategy and Media, Creative, and Marketing Technology and Operations. You will help keep projects organized, timelines on track, and stakeholders informed while ensuring teams have the information and resources needed to produce high-quality work.

The successful candidate is detail-oriented, dependable, and comfortable managing multiple projects and shifting priorities. You anticipate needs, follow through on commitments, and approach challenges with curiosity and a solutions-oriented mindset. You are eager to learn new technologies, strengthen your project management capabilities, and contribute to the continuous improvement of our processes. Experience supporting B2B marketing programs is an asset.

Responsibilities

Project Coordination

• Coordinate the planning, scheduling, resourcing, and execution of a variety of integrated marketing initiatives.
• Develop and maintain project schedules, task assignments, status reports, meeting notes, and other project documentation.
• Monitor project progress, milestones, dependencies, and deliverables to help ensure work is completed on time, within scope, and in alignment with the approved brief.
• Anticipate potential project issues and roadblocks, communicate concerns promptly, and partner with project leads to support timely resolution.
• Assist with the preparation of project estimates and track project hours, budgets, and scope against approved plans.
• Work with Client Success and strategy teams to ensure project briefs are complete, requirements are clearly defined, and timelines are achievable.
• Coordinate with cross-functional teams to ensure they have the direction, information, and resources needed to complete their work successfully.
• Help manage changes to project scope, schedules, or deliverables and ensure updates are clearly documented and communicated.
• Support project closeout activities, including confirming deliverables, organizing final files, and documenting key learnings.

Workflow Management

• Support established project management processes and help ensure they are followed consistently across assigned projects.
• Maintain project information, documentation, and workflows within the appropriate systems and tools.
• Identify potential process gaps or inefficiencies and recommend opportunities to improve how work is planned and delivered.
• Help coordinate resources and priorities across teams, escalating scheduling conflicts or capacity concerns as needed.

Communication and Collaboration

• Communicate project goals, priorities, responsibilities, deadlines, and status updates clearly and consistently to internal stakeholders.
• Facilitate or support project meetings, including preparing agendas, documenting decisions, and tracking follow-up actions.
• Build positive and collaborative working relationships across teams and functions.
• Escalate risks, delays, and competing priorities to the appropriate project or account lead in a timely manner.

Qualifications

• At least 1 year of related project coordination, project management, account management, or marketing operations experience, preferably within an advertising or marketing agency.
• A post-secondary degree in business, marketing, communications, project management, or a related field, or equivalent professional experience.
• Ability to prioritize competing demands, adapt to changing requirements, and remain composed in a deadline-driven environment.
• Experience coordinating multiple projects and collaborating with cross-functional teams within established timelines and budgets.
• Familiarity with integrated marketing programs, including creative, digital, media, and marketing automation deliverables.
• Experience using project management or workflow platforms (ie: Asana, Workbook, ClickUp, Scoro, etc.)
• Strong written and verbal communication skills, with the ability to communicate effectively across different teams and levels of the organization.
• Excellent organizational and time-management skills, with strong attention to detail.
• A collaborative, solutions-oriented approach and the ability to work both independently and as part of a team.
• Familiarity with project briefs, timelines, budgets, resource schedules, milestones, risks, and deliverables.
• A demonstrated commitment to accountability, follow-through, and continuous learning.
• Experience supporting B2B marketing programs is an asset.
• CAPM or another relevant project management certification is an asset but not required.

We aim to offer competitive and equitable compensation based on factors such as location, relevant experience, skills, and market benchmarks. The anticipated salary range for this role is $43,000 to $55,000.

Final compensation will be determined based on the successful candidate’s qualifications, and additional flexibility may be considered for candidates whose experience and expertise significantly exceed the role’s core requirements.
