Job Overview:
The HR Operations Specialist serves as a key operational partner to the Director of Human Resources, supporting multiple affiliated organizations through a shared-services model. This role is responsible for administering and continuously improving employee lifecycle processes, HR operations, compliance activities, employee support programs, workforce reporting, and organizational accountability initiatives.
The HR Operations Specialist will serve as the primary administrator for certain day-to-day HR operational activities, ensuring processes are executed consistently, efficiently, and in compliance with company policies and applicable regulations. This position combines hands-on HR administration with data analysis, reporting, employee relations support, and process improvement responsibilities.
Working closely with HR leadership, the organization's PEO, benefits providers, and external partners, the HR Operations Specialist helps ensure operational excellence, compliance, and consistency across all supported organizations.

Key Responsibilities:
Employee Lifecycle Management
- Manage and coordinate all onboarding and offboarding activities across multiple organizations.
- Ensure completion of all pre-employment, new hire, transfer, and separation requirements.
- Partner with department leaders, payroll, benefits, IT, and other stakeholders to ensure a seamless employee experience.
- Maintain employee records and ensure accuracy and confidentiality of HRIS data throughout the employee lifecycle.
- Conduct exit interviews and provide trend analysis and recommendations to HR leadership.
HR Operations & Compliance
- Administer HR operational processes and ensure compliance with company policies, procedures, and applicable employment laws.
- Monitor and track compliance requirements, employee acknowledgments, training completion, certifications, and related initiatives.
- Maintain personnel files and coordinate internal and external audits.
- Track and follow up on outstanding HR-related action items to ensure timely completion by employees and managers.
- Assist with policy administration and communication of HR processes and programs.
Employee Relations & Performance Support
- Serve as a primary point of contact for employee questions, concerns, and HR-related inquiries.
- Support HR leadership with employee relations matters, investigations, conflict resolution, documentation, and corrective action processes.
- Assist managers by providing guidance on HR processes, coaching conversations, performance improvement initiatives, and employee development efforts.
- Escalate complex employee relations issues and sensitive employment matters to HR leadership as appropriate.
- Promote consistent application of policies, procedures, and employment practices across affiliated organizations.
- Support employee engagement, recognition, and culture-building initiatives.
Leave, Benefits & Employment Administration
- Assist with tracking and coordinating leaves of absence, accommodations, jury duty, military leave, workers' compensation claims, unemployment claims, and other employee-related matters.
- Serve as a liaison with third-party administrators, insurance carriers, government agencies, and external vendors regarding employment-related matters.
- Coordinate required documentation and responses for agency inquiries, claims, audits, and compliance requests.
- Assist with annual open enrollment communications and employee benefits education.
- Partner with the organization's PEO and benefit providers to support employee benefits administration and issue resolution.
Reporting, Analytics & HR Technology
- Develop, maintain, and enhance HR dashboards, workforce reports, and key performance indicators.
- Analyze data related to headcount, turnover, retention, onboarding, employee engagement, compliance, and other workforce metrics.
- Prepare executive-level reports and presentations for HR leadership and organizational leaders.
- Utilize HRIS platforms, reporting systems, Excel, and vendor technology platforms to improve operational effectiveness.
- Identify trends, risks, and opportunities and provide recommendations to improve organizational performance.
Process Improvement & Organizational Support
- Evaluate existing HR processes and identify opportunities for greater efficiency, scalability, and consistency.
- Assist with developing and maintaining standard operating procedures, workflows, and process documentation.
- Support organizational initiatives that enhance employee experience, engagement, accountability, and culture.
- Assist with special projects and strategic HR initiatives as assigned.
- Contribute to the continuous improvement of established organizational structures, policies, and practices.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, Organizational Development, or a related field, or equivalent professional experience.
- Progressive experience in Human Resources, HR Operations, People Operations, HR Generalist, or related roles.
- Experience managing onboarding, offboarding, compliance administration, employee relations support, and HR operations.
- Strong proficiency in Microsoft Excel, including formulas, pivot tables, reporting, data analysis, and dashboard creation.
- Experience working with HRIS systems, benefits platforms, applicant tracking systems, and other HR technologies.
- Strong organizational, analytical, and project management skills.
- Excellent verbal and written communication skills.
- Ability to exercise sound judgment, maintain confidentiality, and manage sensitive information.
- Ability to manage multiple priorities across multiple organizations in a fast-paced environment.
- Experience supporting multi-entity, multi-location, or shared-services organizations.
- Experience working with a Professional Employer Organization (PEO).
- Experience managing workers' compensation, unemployment claims, leave administration, and agency-related employment matters.
- Experience building workforce analytics, dashboards, and executive reporting.
- Working knowledge of federal and state employment laws and HR compliance requirements.
- HRIC, SHRM, or equivalent HR certification preferred.
