Events coordinator

The Events Coordinator supports RxBenefits' Events team in the planning and execution of internal and external events. Reporting to the Manager, Events this role provides hands-on logistics support, researches vendors and venues, and partners with Marketing to ensure event materials and communications are on-brand and support demand generation goals. This is an entry-level role well suited to someone early in their events or marketing career who wants exposure to the full lifecycle of corporate and advisor events.

Essential Job Responsibilities Include:

• Event Logistics & Production Support
  • Supports the Events Managers with day-to-day logistics for internal and advisor-facing events, including materials prep, name badges, signage, and shipping and inventory of event supplies.
  • Helps maintain the master events calendar, tracking deadlines, action items, and vendor deliverables across upcoming events.
  • Assists with tracking event budgets, including collecting vendor quotes, processing invoices, and reconciling expenses.
  • Provides on-site support during events, including registration desk staffing, attendee assistance, and troubleshooting logistics as they arise.
• Vendor & Venue Research
  • Researches and compiles venue options, availability, and pricing for broker and advisor events, presenting recommendations to the Events Managers.
  • Conducts initial outreach to vendors (catering, AV, printing, swag, transportation) to gather quotes and proposals.
  • Maintains an organized library of vendor contacts, contracts, and past event details to support future planning.
• Internal Events Support
  • Partners with internal teams (Communications, People/HR, presenting executives) to coordinate logistics for internal events such as Town Halls, team offsites, and employee engagement activities.
  • Coordinates catering, room/AV setup, scheduling, and materials for internal meetings and events.
• Marketing & Demand Generation Coordination
  • Partners with the Marketing team to ensure event collateral, signage, and digital assets are on-brand and consistent with RxBenefits' visual identity.
  • Supports Demand Generation with event registration pages, invitation emails, and attendee tracking to help drive strong turnout.
  • Assists with ordering and inventory of branded event swag and giveaways.
• Registration & Attendance
  • Manages event registration lists, RSVPs, and badge/name tag production.
  • Supports pre-event attendee communications and post-event follow-up materials.

Required Skills / Experience:

• Bachelor's degree in Marketing, Communications, Hospitality, Event Management, or related field, or equivalent experience.
• 1-3 years of experience in event planning, hospitality, marketing coordination, or a related administrative/coordination role.
• Proficiency with Microsoft Office (Excel, PowerPoint) and comfort learning new event or registration platforms.
• Strong organizational skills and attention to detail; able to juggle multiple events and deadlines at once.
• Clear written and verbal communication skills for coordinating with internal teams and external vendors.
• Comfortable doing research and making recommendations (venues, vendors, pricing) to more senior team members.
• Collaborative mindset; works well supporting multiple managers and cross-functional partners across Marketing, Communications, and Demand Generation.
• Willingness to travel occasionally and provide on-site event support, including some early mornings or evenings as events require.

Preferred Skills/Experience:

• Experience researching vendors or venues, or coordinating logistics for meetings or events, preferred.

Based on relevant market data and other factors, the anticipated hiring range for this role is $52,000 to $65,000 annually. Final compensation rates will be determined based on various factors, including but not limited to experience, skills, knowledge, and internal equity considerations. This role is also short-term incentive eligible. Incentive amounts will vary by individual and business goals.
