Position Overview:

We are seeking a highly organized, customer-focused, Construction and Commercial Signage Project Sales Coordinator to support our sales team and ensure a smooth transition from projects into production and installation.

This position is responsible for accurately entering project information into the company software system, maintaining customer communication, monitoring project status, and following up internally to ensure projects remain on track.

The sales coordinator serves as an important link between the customer, sales team, production, permitting, installation, and other internal departments. This role does not perform estimating or takeover project manager man after the sale. Instead, the coordinator provides the administrative and communication support necessary to keep projects organized and moving forward.

Key Responsibilities:

Sales & Customer Coordination

• Support the sales team with administrative and coordination responsibilities.
• Job take offs, and basic estimating of opportunities.
• Communicate professionally with customers regarding project status, required information, scheduling updates and next steps.
• Assist our internal project management team on follow-up with customers for approval, artwork, said information, deposits, paperwork, and other required items when needed.
• Respond promptly to customer questions and route technical or project specific questions to the appropriate team member as needed.
• Maintain positive, professional relationships with commercial customers, contractors, property managers, developers, and business owners.

Project Information & System Management

• Accurately enter all project information into the company’s software and CRM/project management systems.
• Ensure project details, customer information, contacts, specifications, drawings, artwork, purchase orders, and other documentation are properly recorded and organized.
• Review information entered into the system for completeness and accuracy.
• Update project status and customer communication as information becomes available.
• Maintain accurate records of approvals, outstanding items, deadlines, and customer requests.
• Ensure information is communicated to the appropriate internal departments.

Internal Follow-Up & Project Tracking

• Monitor sold projects to ensure required steps are progressing according to schedule.
• Follow up internally with production, permitting, purchasing, installation, design, and other departments regarding outstanding items.
• Identify projects that may be falling behind schedule and bring them to the attention of the appropriate manager or project team member.
• Maintain awareness of project deadlines and upcoming milestones.
• Follow up on outstanding information or action items without taking ownership of the actual project management function.
• Help ensure that customers receive timely updates when there are changes or delays.

Sales Team Support

• Keep sales representatives informed of project status and outstanding customer or internal requirements.
• Assist sales representatives with customer follow-up and administrative tasks.
• Help ensure a smooth handoff from the sales process to the internal production and installation teams.
• Maintain organized records so sales representatives can quickly access current project information.
• Assist with customer follow-up on open proposals, approvals, deposits, or other sales-related items as directed.

What This Role Is Not

This position is not responsible for complex estimating projects, engineering, designing signage, scheduling production, or independently managing projects after the sale.

Instead, the focus is on coordination, communication, organization, data accuracy, and follow-up to help ensure that the appropriate team members have the information they need and that sold projects continue moving forward.

Qualifications

• 2+ years of experience in sales coordination, customer service, construction, signage, manufacturing, or a related industry preferred.
• Excellent organizational and follow-up skills.
• Strong attention to detail and accuracy.
• Excellent written and verbal communication skills.
• Ability to manage multiple projects and priorities simultaneously.
• Comfortable communicating with customers, contractors, vendors, and internal departments.
• Strong computer skills and ability to learn company-specific software quickly.
• Experience with CRM, ERP, project management, or business management software preferred.
• Ability to identify missing information and proactively follow up to obtain it.
• Professional, dependable, and comfortable working in a fast-paced environment.

The ideal candidate is someone who doesn't let things fall through the cracks. They are organized, persistent, detail-oriented, and comfortable following up with both customers and coworkers.

They understand that their role is to keep information flowing, keep records accurate, identify outstanding items, and make sure everyone involved knows what needs to happen next.

Experience in commercial construction, signage, printing, manufacturing, or a related industry is a plus, but strong organizational and communication skills are equally important.
