Main Responsibilities of a Service Writer/ Assistant Front Manager

Greet customers and provide a professional, welcoming experience. Listen to customer concerns and accurately document vehicle issues. Prepare estimates for repair and maintenance services. Communicate recommended services clearly and effectively. Greet customers professionally and provide excellent customer service. Answer incoming phone calls and assist customers with basic questions. Schedule customer appointments and confirm upcoming appointments. Check customers in when they arrive at the shop. Gather customer and vehicle information accurately. Document customer concerns and vehicle symptoms clearly. Create and update repair orders. Check vehicle mileage, VIN, license plate, and other required information. Assist the Service Writer with preparing estimates and invoices. Communicate with technicians regarding vehicle concerns and repair status. Keep customers updated on the progress of their vehicles. Contact customers for authorization on approved repairs when directed by the Service Writer. Help obtain parts pricing and availability. Communicate with parts suppliers when necessary. Track parts orders and help ensure parts arrive when needed. Help maintain accurate repair-order documentation. Assist with vehicle inspections and documenting technician findings. Take photos of vehicle damage or recommended repairs when needed. Help coordinate vehicle drop-offs and pickups. Help keep the shop schedule organized and up to date. Assist with closing repair orders and collecting customer payments. Process invoices, receipts, and other paperwork. Maintain a clean and professional front counter and customer waiting area. Help follow up with customers regarding declined or postponed repairs. Assist with warranty or service-related documentation when requested. Maintain professional communication with customers, technicians, vendors, and management. Follow all shop policies and procedures. Help the Service Writer with daily administrative duties as needed. Be willing to learn basic automotive terminology and understand common vehicle repairs and maintenance. Recognize when a customer concern needs to be referred to the Service Writer or technician for further explanation. Ensure customer satisfaction and handle concerns when needed.
