Job Description

The Service Project Manager works closely with Commercial Service Operations, the Field Service Manager, technicians, sales, accounting, and customers to keep projects on scope, on schedule, and financially on track. This role is responsible for the outcome of assigned jobs - not just coordination - and is expected to identify issues early, communicate clearly, and follow through until the work is complete and closed out.

Responsibilities:

  • Manage assigned commercial and industrial service projects from turnover through completion and closeout, with clear ownership of scope, schedule, financial performance, customer communication, and results.
  • Review project scope, estimate, proposal, labor assumptions, materials, schedule, customer requirements, and job risks before work begins; ensure a proper turnover occurs before mobilization.
  • Develop and maintain project plans and schedules, coordinating labor needs, materials, equipment, subcontractors, permits, access, shutdown requirements, and other resources needed for successful execution.
  • Partner with the Field Service Manager and service coordination team on technician scheduling, sequencing, and workload needs while maintaining ownership of the assigned project.
  • Own the financial performance of assigned projects, including budget, labor performance, material and subcontractor costs, committed costs, billing status, and overall job profitability.
  • Monitor actual job performance against the estimate and budget, identify variances early, and take action to address labor, cost, scope, or schedule issues before they escalate.
  • Identify, document, price, and obtain approval for scope changes and additional work; ensure change orders are captured and billed appropriately.
  • Maintain accurate project information in frēijē business systems, including job status, costs, commitments, forecasts, billing requirements, and closeout information.
  • Serve as the primary customer contact for assigned projects, setting clear expectations and communicating proactively regarding scope, schedule, access, changes, delays, and completion.
  • Provide technicians and field teams with the information needed to execute the work successfully, including scope, drawings, customer expectations, schedule, job requirements, and changes.
  • Visit jobsites as needed to review progress, coordinate work, address project issues, and support successful execution.
  • Maintain complete and timely project documentation, including proposals, purchase orders, subcontractor documentation, customer approvals, change orders, job notes, billing support, and closeout documents.
  • Drive timely billing and project closeout, ensuring completed work does not remain open or unbilled and that Accounting has the documentation needed for accurate invoicing.
  • Complete final project review and closeout, including outstanding documentation, billing, cost review, lessons learned, and resolution of remaining customer or project items.
  • Identify opportunities to improve project execution, estimating feedback, field coordination, customer experience, and service processes based on lessons learned from assigned work.
  • Partner effectively with Commercial Service Operations, field teams, sales, accounting, project teams, Safety, and other internal partners.

Required qualifications:

  • High school diploma or General Education Degree (GED) required
  • Associate or bachelor's degree in construction management, engineering, business, or a related field preferred
  • 3 to 7 years of relevant commercial/industrial service, project management, construction, or mechanical contracting experience required
  • Experience managing projects involving labor, materials, subcontractors, schedules, job costs, and customer commitments required
  • Working knowledge of commercial HVAC/R, mechanical, piping, plumbing, or industrial service operations strongly preferred
  • Experience with job costing, WIP, project financials, change orders, billing, and project closeout preferred
  • Service management, project management, or ERP system experience required
  • Microsoft Office Suite experience required; strong Excel skills preferred
  • Ability to read and understand project scopes, estimates, proposals, drawings, specifications, and related project documentation
  • Strong planning, organization, problem-solving, and follow-through skills with the ability to manage multiple active projects and priorities
  • Strong written and verbal communication skills and the ability to work effectively with customers, technicians, subcontractors, vendors, and internal teams
  • Demonstrated ownership and sound judgment, including the ability to identify risk, raise concerns, and drive issues through resolution
  • Carry a valid driver license and have dependable transportation required
  • Ability to visit jobsites regularly and lift up to 25 pounds
