Job Description

JOB SUMMARY

The Compliance Specialist supports Human Resources and Operations by coordinating, tracking, and maintaining employee licensing, training, and compliance requirements for security personnel. This position helps ensure employees and assigned locations remain compliant with applicable state and federal requirements, client-specific standards, and company policies.

ESSENTIAL FUNCTIONS

  • Track and monitor California security officer licensing and credential requirements, including Guard Cards, firearm permits, and other applicable licenses or certifications.
  • Monitor license and certification expiration dates and coordinate reminders and follow-up with employees and management.
  • Assist with tracking required BSIS training and other state-mandated security officer training requirements.
  • Maintain detailed electronic compliance trackers, databases, dashboards, and reports.
  • Utilize multiple HR, training, licensing, scheduling, and compliance systems to research and maintain employee information.
  • Perform routine data audits to identify missing, expired, incomplete, or inconsistent records.
  • Coordinate with Recruiting, HR, Training, and Operations to verify required credentials and documentation for new hires and current employees.
  • Assist with audits of employee files, training records, licensing records, and other compliance documentation.
  • Track completion of company-required training, acknowledgments, certifications, and recurring compliance initiatives.
  • Assist with federal, state, local, client-specific, and company compliance initiatives.
  • Track client-specific training, certification, background, onboarding, and documentation requirements.
  • Prepare and distribute compliance reports identifying upcoming expirations, outstanding requirements, trends, and areas requiring management follow-up.
  • Utilize technology and available reporting tools to improve the efficiency and accuracy of compliance tracking.
  • Support compliance projects, internal audits, and corrective action plans.
  • Monitor established compliance deadlines and escalate unresolved or time-sensitive issues to HR or Operations leadership.
  • Maintain confidential employee and compliance information in accordance with company requirements.
  • Perform other Human Resources and compliance-related duties as assigned.

MINIMUM QUALIFICATIONS

  • 2+ years of administrative, Human Resources, compliance, security operations, or related experience preferred.
  • Security industry experience strongly preferred.
  • Familiarity with California BSIS licensing and security officer requirements preferred.
  • Strong technical aptitude and demonstrated ability to work efficiently within multiple computer systems.
  • Strong analytical, organizational, and problem-solving skills.
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple priorities, deadlines, and high-volume compliance requirements.
  • Ability to maintain confidentiality and appropriately handle sensitive employee information.
  • Strong written and verbal communication skills.

MINIMUM HIRING STANDARDS

  • Must have a reliable means of communication (i.e., pager or phone).
  • Must have a reliable means of transportation.
  • Must have a valid driver’s license.
  • Ability to acquire and maintain any specific special clearances/access requirements.
  • Must be able to travel frequently.
  • Must have the legal right to work in the United States.
  • Must have the ability to speak, read, and write English.
  • Must have a High School Diploma or GED.
  • Must be willing to participate in the Company’s pre-employment screening process, including drug screen and background investigation.

  • Speak and hear sufficiently to communicate in person and by phone.
  • Maintain visual ability including close vision, distance vision, and ability to adjust focus.
  • Frequent sitting, standing, and walking, which may involve climbing stairs and walking up inclines and on uneven terrain.
  • Occasional reaching with hands and arms, stooping, kneeling and crouching.
  • Occasional lifting and/or moving up to 25 pounds.
  • May be exposed to inclement weather or be required to work in environments or under conditions that require the use of personal protective equipment, gear and devices and/or awareness of personal safety and safety of others.
  • May be exposed to or required to handle sensitive and confidential information.
