SUMMARY

The Clinic Manager helps ensure efficient clinic operations by assisting with key administrative duties such as coordinating activities with partner organizations, suggesting improvements to existing clinic processes, and tracking/reporting key data. The Clinic manager also serves as a backup Senior Medical Assistant (see Senior Medical Assistant job description), and participates in the selection and training of new Medical Assistants.

SUPERVISORY RESPONSIBILITIES

The Clinic Manager oversees multiple activities and functions that may include Medical Assistants, Patient Service Coordinators (front desk), and Pharmacy Technicians. The Manager ensures overall clinic efficiency and coordinates closely with the directors of clinic services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Ensures efficient processes for organizations with special contracts (e.g., Ackerman Cancer Centers, Episcopal Children’s Services, Gateway, Bridges of America, Sober Living, etc.); assists with tracking and invoices.
2. Ensures accuracy of ledger reporting for payments from patients (e.g., sliding scale fees) including verifying refunds where appropriate.
3. Assists with validation of patient eligibility; may conduct audits of eligibility paperwork.
4. Assists with tracking / validating number of students and volunteers for required reporting (e.g., end of month reporting, UDS, state reporting, etc.). Assists in the credentialing of providers at the assigned site(s) (employees and volunteers).
5. Assist in compliance with HEDIS measures, pharmacy audits and Americorps mentoring.
6. Assists as needed to track and validate patient reporting numbers (e.g., new patients, number of visits, etc.).
7. Works in partnership with the Health Systems and Budget Administrator and Medical Director to develop and assist in the conduct of appropriate training for clinic employees on new policies or procedures related to clinic functioning; helps ensure compliance with policies and procedures by Medical Assistants, Patient Care Coordinators (Front Desk). Works in partnership with the Health Systems and Budget Administrator to ensure up to date facility licenses and registrations.
8. Assists with patient care as required by performing the responsibilities outlined in the Senior Medical Assistant job description.
9. May perform additional administrative duties as requested by the Health Systems and Budget Administrator or Medical Director (e.g., submitting and following up on Medicaid/insurance claims, credentialing providers/updating provider credentials, etc.).
10. Act as the first level, “go to person” for Medical Assistants and Patient Care Coordinators (Front Desk) regarding troubleshooting issues.
11. Supervises assigned pharmacy technicians in the medication room at the Sulzbacher.
12. Provide on-going useful, objective, and constructive input to employee hiring and performance appraisals.
13. Maintains and updates compliance procedures (as required) in accordance with appropriate regulations and Center policies. Manages general compliance issues for the assigned site(s); works in conjunction with the Medical Director and Health Systems and Budget Administrator for HRSA-related compliance projects/issues.

The Clinic Manager is sensitive to cultural, spiritual and practical needs of resident, families, guests and staff members in all interactions. He/she provides positive feedback and comments about the quality of work and effort that have been offered by patients, residents, families and coworkers, and adjusts priorities and schedules to meet specific customer needs. The Clinic Manager reports and/or corrects problems related to safety, cleanliness and comfort of resident, patient and work areas, and follows Universal Precautions and Infection Control techniques. He/she demonstrates an understanding of their role in facility safety plans and procedures related to fire, weather and other disasters.

EDUCATION and/or EXPERIENCE Qualifications

• High School Diploma / GED
• Certified Medical Assistant with understanding in basics of medical terminology
• Phlebotomy drawing certificate required; venipuncture certificate or equivalent
• Current CPR certificate
• Minimum 7 years medical office / clinic experience
• Excellent interpersonal, communication and time management skills
• Excellent computer skills
• Ability to work in fast paced environment with multiple health care providers
• Ability to pass a level 2 background screening

Physical/Mental Demands & Working Conditions

• Transportation and valid Florida driver’s license
• Work various shifts as required to ensure that health services are adequately administered
• Ability to travel
• Works in typical clinical office setting
• Must be able to lift 20 pounds
