Oversee end-to-end recruitment, from drafting job descriptions to onboarding new hires and ensure process and compliances are being adhered.
Ensure all HR Policies are evaluated formulated as per codes of conduct in alignment with legal requirements and company values. Ensure implementation of the HR policies on ground by issuing Memos, Scheduling trainings for awareness of the employees.
Administer attendance tracking, leave management, and shift rosters in the HRMS tools for accuracy.
Collaborate with the leadership team and the department heads to ensure regular assessment of the HR requirements, disciplinaries etc.
Grievance Handling: Establish transparent channels for employees to voice concerns. Mediate and resolve disputes between employees, supervisors, and union representatives. Union Liaison: Engage proactively with labor unions, participate in wage negotiations, and ensure compliance with collective bargaining agreements. Communication: Facilitate transparent two-way communication between management and the workforce, ensuring policies, changes, and company news are clearly disseminated.
Ensure adherence to labour laws, factory acts, minimum wages, contract labour regulations, and other applicable statutes. Disciplinary committees to be formulated. Ensure that the disciplinary process is being adhered to and accurate records are being maintained.
Devise a training calendar with respect to all the regulatory mandatory trainings to be conducted in the organisation. Implement succession planning and leadership programs to nurture high-potential employees for critical roles.
KPI Setting and Review: Define roles, responsibilities, target settings with an focus of improvisation of Productivity. Work with department leaders to define Key Performance Indicators for performance reviews. Work with the Management, HODs and Supervisors to develop productivity reports on a weekly basis to ensure optimum utilisation of manpower. Appraisal Process: Oversee transparent and objective appraisal systems, facilitate timely performance reviews, and ensure fair reward and recognition mechanisms.
Prepare payroll input report on a bi weekly basis for seamless payroll processing with respect to overtimes, advances, loans, recoveries, adjustments, SACCO, HELB etc. Ensure all the documentation with the required approvals are in order and submitted to the relevant spocs for transparency in the payroll operations. Submit monthly payroll reports generated through HRMS on a monthly basis like statutories, variance analysis in payroll etc.
Regulatory Compliance Management: Ensure full adherence to all OSHA laws, regulations, and guidelines. Documentation: Maintain records of all safety and health activities, including site inspections, incident reports etc. Organize regular training sessions on emerging safety and health topics, including fire safety, first aid, hazard communication, and stress management. Emergency Preparedness: Develop and regularly update comprehensive emergency response plans covering fire, first aid medical emergencies, chemical spills etc. Organize periodic emergency drills and simulations to test response readiness across all levels of staff. Prepare and submit statutory reports to the regulatory bodies as required. Review and update company policies and procedures to reflect changes in OSHA regulations.
Ensure all regulatory licenses and certificates are renewed on a timely manner. Update and maintain physical as well as MIS records for all the License/ Certificate copy to be rendered to the Management when required as a Custodian.
SPOC for all audits conducted in the organisation related to Regulatory/ Licensing/ Certification. SPOC for all OSHA related Conduct regular internal audits to assess organizational compliance. Identify and assess gaps for formulating corrective action plans.
External Stakeholders: Liaise with vendors, contractors, government agencies, and local communities on HR-related matters including compliance, welfare, and recruitment. Vendor Management: Oversee performance of the outsourced services such as security, housekeeping, and contract labor, ensuring their optimum performance through reviews of the service quality and compliance.
The HR Manager shall be responsible for presenting for sharing daily/ weekly reports on HR operations for to the senior Management. On a monthly basis a consolidated reports shall be presented by the HR Manager to the Senior Management.
Proven experience in managing end-to-end HR operations, including recruitment, payroll, and employee relations. In-depth knowledge of labor laws, factory acts, OSHA regulations, and collective bargaining agreements. Demonstrated ability to formulate and implement HR policies that align with legal requirements and organizational culture. Strong proficiency in HRMS tools for attendance, payroll, and reporting. Experience in conducting internal audits, managing vendor relationships, and handling union negotiations. Exceptional communication skills with the ability to mediate disputes and facilitate transparent communication across all organizational levels. Track record of developing training programs, succession plans, and performance management systems that drive productivity. High level of integrity and attention to detail in managing statutory compliance and sensitive employee data.
