Job Description

Role Summary

The PMO Manager is responsible for establishing and managing project governance, reporting, planning, risk management, financial tracking, resource management, and stakeholder communication across programs and projects. The role ensures projects are delivered on time, within budget, and aligned with business objectives while maintaining compliance with organizational standards and methodologies.

Key Responsibilities

Governance & Project Controls

  • Establish and maintain PMO governance frameworks, standards, and processes.
  • Ensure compliance with project management methodologies and corporate policies.
  • Monitor project health and provide executive-level visibility through dashboards and reports.
  • Conduct stage gate reviews and quality assurance assessments.

Portfolio & Program Management

  • Support management of multiple projects and programs across the organization.
  • Track project schedules, milestones, dependencies, and critical paths.
  • Facilitate portfolio prioritization and resource allocation discussions.
  • Monitor program performance against agreed KPIs and objectives.

Risk, Issue & Dependency Management

  • Maintain RAID (Risks, Assumptions, Issues, Dependencies) logs.
  • Drive mitigation plans and escalation management.
  • Identify cross-project dependencies and potential delivery impacts.
  • Facilitate regular governance and risk review sessions.

Financial Management

  • Track project budgets, forecasts, and actual expenditures.
  • Monitor project financial performance and highlight variances.
  • Support business case development and benefits realization tracking.
  • Ensure accurate financial reporting to leadership teams.

Resource & Capacity Management

  • Coordinate resource planning and allocation across projects.
  • Track resource utilization and identify capacity constraints.
  • Support workforce planning and onboarding activities.
  • Collaborate with functional managers to resolve resource conflicts.

Reporting & Stakeholder Management

  • Prepare executive dashboards, steering committee packs, and status reports.
  • Present project performance updates to senior leadership.
  • Ensure effective communication among business, IT, and external stakeholders.
  • Drive action tracking and governance meeting outcomes.

Process Improvement

  • Identify opportunities to improve project delivery processes.
  • Promote automation and reporting efficiencies.
  • Support continuous improvement initiatives and lessons learned activities.
  • Implement PMO best practices and industry standards.

Required Skills & Experience

Essential

  • 8-12+ years of PMO, Project Management, or Program Management experience.
  • Strong understanding of project delivery frameworks (Waterfall, Agile, Hybrid).
  • Experience managing large-scale transformation, IT, or business programs.
  • Expertise in RAID management, governance, reporting, and stakeholder management.
  • Excellent analytical, planning, and organizational skills.
  • Advanced knowledge of Microsoft Project, Excel, Power BI, and PowerPoint.
  • Experience with project portfolio management tools (ServiceNow PPM, Clarity, Jira, Azure DevOps, etc.).

Preferred

  • PMP, PRINCE2, MSP, Agile, or Scrum certifications.
  • Experience in managed services, infrastructure, cloud, or digital transformation programs.
  • Knowledge of financial management and benefits realization.
  • Experience working in global delivery environments.
