BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

Reporting first-level to Head of the Freight Control Unit (FCU), and second-level to Chief Shipping the incumbent shall perform the following tasks in liaison/consultation with concerned Shipping staff.

ACCOUNTABILITIES/RESPONSIBILITIES:

  1. Lead the integration of Wing/Less data in DOTS with Transport Management System (TMS) thus capturing TMS key data such as updated events and other operational details.
  2. Build on Shipping data to produce or refine reports based on requirements gathered and/or end user feedback received from Shipping/Country Offices and Regional Bureaus & coordinate implementation/testing.
  3. Develop Non-Food Item dataset in DOTS drawing data from WINGS and from key operational details available in Shipping TMS.
  4. Support FCU/Liner/Charter team with Shipping Overviews & building reports/tools/dashboards via DOTS, including documentation and development of online user-friendly guidelines.
  5. Continue building and refining Quality Assurance reports by supporting the conversion/automation of the same as well as streamline KPI baseline and performance measurement system in DOTS.
  6. Contribute to process overview documentation and update process flows as necessary.
  7. Perform reporting function as required, especially for corporate exigencies such as emergencies, special projects, e.g. BPR and Track & Trace.
  8. Any other related tasks, as required.

DELIVERABLES AT THE END OF THE CONTRACT:

  1. Integrated reporting capabilities Food/NFI/value/tonnage/operational details/Batch information/Insurance information/GCMF key data.
  2. Twofold automated Monthly Data Quality Assurance reports to ensure a. Dots data integrity and b. Operational alerts based on agreed KPIs.
  3. Shipping Specific reports developed and existing ones refined supporting Liner & Charter Team.
  4. Finalize and refine documentation regarding rational and logic of shipping instruction and consignment overview datasets including new features & User guides of related reports.
  5. Produce corporate reports/statistics and emergency reports for Country Offices/Regional Bureaus.
  6. Foster understanding and usage of DOTS within the Shipping Teams.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

Completion of first university degree, ideally in an International Business Management or Business Information Technology curriculum.

Experience:

Experience in customer service and Supply Chain functions (managing orders/order allocation, managing delivery schedules, managing payables and/or invoices, etc.). Coordination, market reviews, research and/or simulations, in support of project management activities.

Knowledge & Skills:

Knowledge of product, logistics or transport management systems.

Advanced computer skills in Microsoft Office applications (Power Point, Excel, Word and Projects, Access) and ideally in reporting tools such as Tableau, Palantir, etc.

Knowledge of Standardised business support work routines and methods. Tact and courtesy to give and receive information with a variety of individuals. Good attention to detail in order to identify data discrepancies.

Languages:

Fluency (level C) in English language.
