We are looking for a Publishing Administrator & PA to join our client's music publishing team in Tbilisi. The role combines music catalogue administration, registrations and rights management with Personal Assistant support to a Co-Founder. You will work closely with songwriters, producers, A&R, and internal teams to ensure accurate registrations, songwriting splits, metadata, and documentation, while also supporting scheduling and administrative tasks for senior leadership.
Your Duties
- Register new songs with relevant collection societies and rights organisations.
- Verify songwriting splits and ensure they are agreed and properly documented.
- Follow up with writers, co-publishers, and collaborators regarding outstanding split confirmations.
- Identify and resolve discrepancies between agreed and registered splits.
- Conduct regular catalogue spot checks and maintain accurate audit trails.
- Report missing, incorrect, or unregistered works to the relevant team.
- Maintain and update DISCO with new songs, metadata, split information, and supporting documentation.
- Ensure consistent file naming, tagging, and catalogue organisation.
- Coordinate songwriting sessions and writing camps, including invitations, scheduling, logistics, and follow-ups.
- Maintain accurate records of session outputs and ensure new works are logged for registration.
- Provide PA support to a Co-Founder, including diary management and meeting scheduling.
- Coordinate contract signatures and track documents through to completion.
- Manage scheduling requests, resolve diary conflicts, and coordinate with multiple stakeholders.
- Support general administrative and organisational tasks across the publishing team.
Requirements
- 1–3+ years of experience in administration, coordination, PA, executive assistance, or a similar organisational role.
- Excellent attention to detail and strong ability to work with accurate data and documentation.
- Strong organisational and time-management skills with the ability to manage multiple priorities.
- Confident and professional communication skills, including the ability to follow up with stakeholders and keep tasks on track.
- Experience using Google Calendar, Outlook, or similar diary/calendar management tools.
- Good knowledge of general office and productivity tools.
- Ability to learn and adapt quickly to new systems and processes.
- Strong sense of responsibility, reliability, and follow-through.
- Ability to work independently while collaborating effectively with different teams.
- English proficiency required.
- Previous experience in the music, entertainment, creative, or media industry is a plus.
- Experience providing PA/Executive Assistant support is a plus.
- Experience coordinating events, sessions, or schedules involving multiple stakeholders is a plus.
- Interest in music publishing, songwriting, or the music industry is a plus.
- No prior music publishing experience is required — training will be provided.
