The Office Assistant will provide general clerical, administrative, and basic office support to the Dhaka Country Office. The role focuses on routine tasks that support the smooth functioning of the office and the delivery of basic services, under direct supervision of Senior Administrative Officer and following detailed verbal or written instructions. The position is locally recruited and provides important day-to-day support to colleagues across the office.

Country Context

The World Bank Office, Dhaka supports the Government of Bangladesh in its efforts to reduce poverty and promote shared prosperity and other partners to implement the World Bank’s country program. The Office Assistant will be part of the local operations support team, contributing to efficient office functioning so that operational and technical teams can focus on delivering results in Bangladesh.

Duties and accountabilities:

Under the supervision and guidance of the designated supervisor, the Office Assistant will perform duties of a routine nature, consistent with the WBG GA Generic Grade Profile Requirements. Key responsibilities include, but are not limited to, the following:

1. General Clerical and Administrative Support:

  • Perform routine administrative and clerical tasks such as photocopying, printing, scanning, and simple data entry, ensuring accuracy and completeness.
  • Assist with preparation, collation, and basic formatting of simple documents and materials as instructed.
  • Support the maintenance of office records by labeling, organizing, and filing hard-copy and electronic documents in accordance with office procedures.

2. Front-Office and Reception Back-Up Support:

  • Provide back-up support to reception as needed, including:
    • Receiving and directing visitors.
    • Answering and routing telephone calls.
    • Taking and relaying messages accurately.
  • Provide basic information and direct queries to appropriate staff, in line with established office practices.

3. Document Handling and Internal Distribution:

  • Assist in the reproduction and distribution of documents, reports, and other materials within the office.
  • Distribute incoming mail, pouches, and internal correspondence to staff, and collect outgoing mail and documents for dispatch, as instructed.
  • Ensure timely and accurate internal circulation of documents, following office procedures.

4. Supervise Meetings and Events:

  • Supervise logistical arrangements for internal meetings and office events (e.g., basic room set-up, arranging chairs, placing materials on tables).
  • Supervise arrangement of meeting materials (agendas, handouts, sign-in sheets) and ensure they are available and properly distributed.
  • Supervise meetings (e.g., distribute refreshments/drinks, collecting materials after meetings).

5. Office Equipment and Supplies Support:

  • Operate basic office equipment (printer, telephone, scanner) in the course of daily work.
  • Monitor and replenish routine office supplies (e.g., paper, toner, stationery) in coordination with the colleague responsible, as instructed.
  • Ensure proper and careful use of office equipment and promptly report any malfunction to the appropriate focal point.

6. Other Duties:

  • Perform any other related duties as may be assigned, consistent with the grade level, the position, and office needs.

Selection Criteria

  • High school diploma or equivalent combination of education/experience in general office support services, or similar roles.
  • Knowledge of office equipment (printer, scanner, telephone system).
  • Ability to follow instructions, office procedures, and security/confidentiality requirements.
  • Behaviorally strong in-service orientation includes versatility and adaptability.
  • Awareness of Institutional policies, processes, and procedures is an advantage.
  • Familiarity with using email and simple electronic tools.
  • Experience in an international or multicultural work environment is an advantage.
