Job Description

About the Role:

Support a team of seasoned event professionals responsible for leading the planning and execution of high-profile field events. This role assists in developing event concepts, researching vendors, and coordinating site visits. In addition to helping the team stay organized in the execution of a large portfolio of events, this role supports the operational planning and on-site execution of large-scale conferences, meetings, and experiential events.

The role is intended for an early-career event professional with an interest in live events, creative planning, and delivering memorable attendee moments that reflect Northwestern Mutual’s brand standards and commitment to exceptional experiences.

What You'll Do in the Role:

  • Support the Field Events Management team with the planning and coordination of events.
  • Serve as the liaison between event managers and the Event Business Operations team, helping ensure timelines are met for registration, mobile app, event website, housing, and shipping.
  • Coordinate site selection and pre-planning visits, including coordinating travel with internal teams, researching venues, coordinating appointments with venues and hotels, drafting trip agendas, and attending as needed.
  • Oversee the team events calendar, project plans in the project management system, and event management inboxes. Respond quickly to attendee needs and support issue resolution during live events.
  • Contribute to the creation of presentation decks and post-event analysis reporting.
  • Shadow event managers during meetings with association and business partner leads.
  • Assist the team in developing event concepts by contributing ideas for creative food and beverage moments, networking environments, and attendee engagement opportunities.
  • Research and identify vendors and venues to create a preferred vendor list. Assist with vendor outreach, proposal comparisons, and coordination of vendor deliverables.
  • Work with internal teams and vendors to source branded items that align with event themes and brand guidelines. Assist with organizing, staging, and distributing swag, recognition experiences, and materials during events.
  • Travel to event locations throughout the United States to assist with event setup, execution, and teardown. Maintain event documentation, including run-of-show schedules and event setup diagrams.
  • Help deliver welcoming and seamless attendee experiences through thoughtful hospitality and attention to detail, serving as a resource for attendees, vendors, and internal stakeholders during events.
  • Support budget tracking and vendor payments.

What You'll Bring to the Role:

  • Bachelor’s degree in event management, hospitality, business, marketing, or a related field preferred.
  • 1-3 years of experience in events, hospitality, conferences, or marketing activations.
  • Strong organizational and project coordination skills.
  • Excellent communication and interpersonal skills.
  • Familiarity with event management platforms such as Cvent, project management software, Microsoft Office Suite, and AI productivity tools preferred.
  • Ability to coordinate multiple tasks and maintain strong attention to detail.
  • Ability to travel domestically up to 30–50% to support events across the United States.
  • Flexibility to work evenings and weekends during event execution periods.
