POSITION SUMMARY:

The Proposal Specialist is responsible for helping establish and supporting the estimating and proposal processes meanwhile collecting and analyzing data to provide support to the company. The Proposal Specialist is responsible for performing duties which allow the estimating team to be efficient and consistent.

Responsibilities

ESSENTIAL JOB FUNCTIONS:

• Download bid packages & update relevant parties
• Provide daily checks of owner sites with active bid packages for updated documents, download & notify
• Assign new bid packages with Estimate numbers from the Estimate Log
• Maintain Estimate Calendar
• Develop & maintain folder structure that combines the 2 main structures currently used
• Develop & maintain consistent document controls guidelines with regards to document locations, naming and numbering convention
• Regularly performs data entry, formatting as required by the Estimating management team
• Assists in other duties as needed and directed.
• Collaborates with cross-functional departments to ensure timely implementation of change requests
• Ability to be proactive about classification of documentation, orderly preservation, and continuous improvement
• Ability to define problems, collect data, establish facts, and draw valid conclusions
• Identify and report documentation gaps identified as required by policy at various levels
• Create, follow through with, and take responsibility for multiple action plans with limited support

Qualifications

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

Associates degree or equivalent combination of education and experience

0-3 years related work experience

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

• Be knowledgeable of MIC Health and Safety programs and project specific regulations.
• When on-site, actively participate in daily toolbox meetings with crews and subcontractors.
• Set a personal example of safe behavior.
• Demonstrate attention to detail, problem sensitivity, problem solving, orientation to quality, to customer service and demonstrate the ability to gather information and evaluate it to determine compliance with standards.
• Advanced level of proficiency in Microsoft Office, including PowerPoint and Outlook with strong impassion Excel and Word. Previous programming experience with Visio, Illustrator and Adobe PDF.
• Organization Skills- must be able to monitor several tasks or projects concurrently
• Communication skills- collaborate with teams of all disciplines within the company and to present ideas and findings to colleagues and customers.
• Self Starter- The ability to demonstrate drive and self-motivation to be able to work well independently, with minimum supervision, while meeting deadlines, given or self-imposed.
• Mathematical skills- accuracy with arithmetic and subtraction, decimals, and percentages.
• Skilled in monitoring, critical/strategic thinking, analyzing, decision making, active listening, reading comprehension, time management, initiative and follow through.

WORK ENVIRONMENT:

Must have the ability to travel upto 45% of the time. When visiting jobsites, the work environment involves some exposure to hazards or physical risks, which require following basic safety precautions.

PHYSICAL DEMANDS:

This position requires prolonged sitting at a desk and working at a computer. Must be able to lift up to 20 pounds at times.

HOURS:

This position is a standard full-time position, with general business 40-hour operating schedule, Monday-Friday.
