Job Description

UC Funds is a vertically integrated commercial real estate specialty finance firm, founded in 2010 by Daniel M. Palmier and headquartered in Boston, with offices in New York and Miami Beach. It lends against multifamily, hospitality, mixed-use and retail assets across the United States — and it also owns real estate of its own.

This role is about one of those assets. ONE CLUB Gulf Shores is a 490-unit community on the Alabama Gulf Coast that UC Funds acquired in 2016 and rebuilt: 45 holes of golf, a 15,000 sq ft clubhouse with a pro shop and the Bar 45 restaurant, two resort-style pools, and the ONE LIFE fitness centre. It has been marketed as the number one apartment community in South Alabama for five years running. UC Funds self-manages it rather than handing it to a third-party manager, because self-managing keeps the flexibility to do unusual things well.

About the role

UC Funds wants to keep self-managing ONE CLUB, but to do it with a leaner structure: a strong local team for everything physical, and one experienced person off site handling everything that does not require being there. That person is you.

Two things are the priority from day one. The first is the money: accounts receivable and payable, invoices, delinquency, move-in and move-out accounting, and a monthly reporting pack that is accurate and arrives without being asked for. The client has been explicit that reporting and accounting is where the gap is today. The second is the people: answering leasing enquiries and actually following them up until they convert, and staying in contact with current residents so renewals happen on purpose rather than by luck.

You will not be running the property alone, and you will not be running it from a chair in Alabama. Maintenance, turns and anything physical stay with the on-site team — they are good, and that is deliberate. Your job is to be the off-site half of a hybrid, which means knowing exactly what has to be done in person and what does not, and working well with people who do not report to you.

Be aware of what this is: UC Funds is weighing self-management against handing the asset to a third-party manager, and this role is part of how that question gets answered. If it works, there will likely be more roles behind it.

Key responsibilities

  • Run the property's financial administration in Yardi — AR and AP, invoice processing, delinquency follow-up, move-in and move-out accounting, month-end reporting and reconciliation.
  • Produce a monthly reporting pack that is accurate and on time, and improve on what exists today.
  • Administer the lease lifecycle end to end: applications and screening, lease generation and renewals, notices, move-ins and move-outs, deposit handling.
  • Own the leasing enquiry pipeline — respond fast, follow up persistently, keep prospects moving toward a signed lease, including through virtual tours and listing platforms.
  • Stay in contact with current residents so renewals are worked rather than waited for.
  • Handle difficult resident conversations by phone — complaints, arrears, and the times when the answer is no — and keep them professional.
  • Assign, chase and verify vendor work, and check invoices against what was actually done.
  • Coordinate with the on-site maintenance and leasing team, escalating what genuinely needs a person on the ground.
  • Keep records, reports and files in a state where someone else could pick them up.

What success looks like (first 90 days)

  • You run the financial administration in Yardi without supervision.
  • The monthly reporting pack arrives accurate and on time, unprompted.
  • Every leasing enquiry gets a same-day response and a follow-up cadence that actually happens.
  • You and the on-site team have a working division of labour neither side has to renegotiate each week.

Requirements

  • Hands-on Yardi experience. Yardi has been your daily system of record on live property operations, and you can name the product and modules you worked in and the workflows you ran there. This one is not flexible — RealPage, Entrata and AppFolio are genuinely adjacent, but this client works in Yardi and there is no training runway.
  • Multifamily residential at scale. You have run operations on a large community or a portfolio — with unit counts you can name — not a handful of single-family rentals. Student housing, senior living and large hospitality operations count. Commercial and retail property management is a different discipline and does not apply here.
  • Property-level financial administration. AR/AP, invoice processing, delinquency, move-in and move-out accounting, month-end reporting and reconciliation have been yours to own. Property accountants moving into a manager seat are a strong fit.
  • US residential lease lifecycle. Applications and screening, lease generation and renewals, notices, move-ins and move-outs, deposit handling — with a working knowledge of how US notice and deposit practice differs from other markets.
  • Resident contact under pressure. You have handled complaints, arrears conversations and refusals by phone, professionally, and can talk through a specific one.
  • Leasing follow-up that converts. You have worked an enquiry pipeline with a real follow-up rhythm, not waited for prospects to call back.
  • Working off site alongside an on-site team. You have supported or managed property operations you could not walk, and you judge well what has to be done in person.
  • English at professional working proficiency, spoken and written, and comfortable on live phone calls with US residents and vendors.
  • Full-time availability as your sole role, covering US Eastern core hours.

Preferred

  • Vendor and work-order management through to verified completion, including having questioned an invoice.
  • Experience with utility billing or RUBS platforms, or invoice-processing systems.
  • Amenity-heavy, resort-style, hospitality or mixed-use residential communities, where golf, food and beverage, fitness and pools sit alongside the residential operation.

Working hours

Full-time, remote, with core coverage 09:00–17:00 US Eastern. The property itself sits in US Central time. Occasional weekend reachability is useful, since leasing enquiries and resident issues do not stop at the weekend — but it is a preference, not a requirement. Latin America is preferred for time-zone overlap.
