Job Description

Bookkeeper

Work hours: US Business Hours | Part-Time (20 hours/week with opportunity to grow into Full-Time)

Role Overview

We are seeking an organized, detail-oriented Bookkeeper & Financial Operations Specialist to become the financial heartbeat of our U.S. operations. In this high-impact execution role, you will own the daily bookkeeping process, ensure prompt invoicing, proactively manage accounts receivable, reconcile complex incoming payments, and give leadership clear visibility into cash flow. A key component of this role involves solving financial puzzles—matching influencer marketing and creator platform deposits that arrive without clear references to the appropriate invoices. Operating as a trusted partner, you will perform a complete cleanup of historical backlogs, establish organized systems, and help build scalable financial processes as the company grows.

Key Responsibilities

  • Bookkeeping & Financial Operations
    • Maintain accurate, clean, and organized financial records for the U.S. entity
    • Categorize and reconcile daily banking transactions and perform regular bank reconciliations
    • Ensure all receipts, incoming payments, and financial documentation are properly recorded
    • Support month-end close activities and prepare regular financial reports for leadership
  • Accounts Receivable & Payment Reconciliation
    • Generate and send invoices immediately or within 24 hours of campaign completion
    • Monitor outstanding receivables and proactively follow up on overdue client accounts
    • Investigate payment discrepancies and resolve unidentified platform deposits
    • Perform detailed "detective work" to match incoming influencer marketing and agency payments to correct invoices
  • Cash Flow Management & Process Improvement
    • Maintain visibility into expected incoming payments and build monthly cash flow projections
    • Identify collection risks and communicate late-paying customer trends to leadership
    • Recommend improvements to invoicing workflows and assist in optimizing accounting software
    • Build documentation and financial best practices to establish scalable bookkeeping processes

Ideal Profile

  • 3+ years of bookkeeping experience with strong expertise in QuickBooks Online and U.S. bookkeeping principles
  • Proven track record managing accounts receivable, bank reconciliations, and payment collections
  • Meticulous attention to detail with strong analytical skills and a knack for solving complex financial puzzles
  • Highly organized and self-directed, with the ability to work independently and create structure without constant oversight
  • Excellent written English communication skills for clear, professional client follow-ups and operational reporting
  • Tech-savvy and comfortable navigating modern cloud-based software (Google Workspace, Excel/Sheets, banking platforms, CRM/PM tools)

Bonus Experience

  • Experience with Xero (preferred future platform migration)
  • Prior experience working within influencer marketing, advertising agencies, or professional services
  • Background supporting multi-entity or international companies
  • Hands-on experience with cash flow forecasting and financial process optimization
