Job Description

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for an Operations Lead, Coaching based in the United States.

The Operations Lead, Coaching will build and scale the systems that enable a growing coaching team to deliver a consistent, high-quality learner experience. This role combines operational strategy, process improvement, data management, and team enablement in a fast-moving, mission-driven environment. You will oversee coach recruitment support, onboarding, tools, resources, and operational workflows while ensuring coaches can focus on helping learners succeed. By identifying root causes and implementing durable solutions, you will improve efficiency, reduce friction, and prepare operations for significant team growth. Working closely with program, client success, product, and engineering teams, you will turn feedback and data into practical improvements. This is an opportunity to shape how coaching operates at scale while contributing to employee development, client outcomes, and long-term career growth.

Accountabilities

  • Design and continuously improve the coach onboarding process, helping new coaches move from offer acceptance to their first learner call efficiently and confidently.
  • Build scalable onboarding systems and workflows that can support substantial growth in coaching team size and operational volume.
  • Own the coaching operating system, including tools, access permissions, partner and client context, policies, documentation, and resources.
  • Serve as a primary point of contact for coach questions while developing self-service resources that help coaches find information and resolve common issues independently.
  • Identify operational bottlenecks, investigate root causes, and implement sustainable solutions through automation, improved tools, standardized templates, and clearer processes.
  • Maintain accurate coaching databases, operational records, and key performance metrics to support reliable staffing, planning, and program decisions.
  • Collect and analyze coach feedback, translating recurring challenges and emerging needs into strategic process and system improvements.
  • Partner with program and client success teams to align coaching resources with client engagement needs and improve outcomes for learners and business partners.
  • Help develop and refine coach recruitment, onboarding, management, and support practices as team requirements and coaching programs evolve.
  • Collaborate with product and engineering teams to improve the tools, workflows, and systems that support coaching operations.
  • Contribute to the ongoing development of coaching practices by testing new approaches, evaluating results, and refining operational playbooks as the work changes.

Requirements:

  • At least 4 years of experience in operations, project management, consulting, or a related field, preferably in a fast-paced and evolving organization.
  • Demonstrated experience building, redesigning, or improving an operational process or system, with clear examples of measurable results.
  • A continuous-improvement mindset, with the ability to identify repetitive work and automate, standardize, simplify, or eliminate it.
  • Strong data skills, including experience working with spreadsheets, databases, dashboards, and operational metrics to inform day-to-day decisions and longer-term planning.
  • Excellent organizational and project management skills, with the ability to coordinate multiple priorities, manage moving pieces, and adapt calmly when circumstances change.
  • Strong problem-solving skills and the ability to investigate underlying causes rather than relying on temporary fixes.
  • Clear written and verbal communication skills, with the ability to create useful documentation, explain processes, and collaborate effectively across teams.
  • A dependable, proactive working style and a track record of building trust with colleagues and following through on commitments.
  • Comfort working in an environment where systems and processes are still evolving and where experimentation, learning, and iteration are encouraged.
  • Genuine interest in education, coaching, employee development, or helping people grow professionally.

Benefits:

  • Competitive salary based on experience and geographic location:
    • Zone 1, including New York City and the San Francisco Bay Area: $110,000–$135,000 per year.
    • Zone 2: $100,000–$125,000 per year.
    • Zone 3: $90,000–$115,000 per year.
  • Comprehensive medical, dental, and vision insurance, with 100% of employee premiums paid by the employer and 50% of premiums for partners, spouses, and dependents covered.
  • Health flexible spending account.
  • Employee Assistance Program offering mental health, financial health, legal support, and additional resources.
  • Free access to well-being applications, including Ginger and Headspace.
  • Flexible paid time off and 13 paid holidays.
  • Generous paid parental leave.
  • Short-term and long-term disability insurance, fully paid by the employer.
  • Annual professional development budget.
  • Company-provided laptop.
  • Remote-first working culture.
  • Employer-paid life insurance, with optional supplemental life insurance available.
  • 401(k) retirement plan.
  • Discounted pet insurance.
  • A collaborative, transparent culture with meaningful feedback, practical training, rapid learning cycles, and opportunities to take ownership of strategic work.
