Hiring Assistant – Worcester/Auburn Office

The Gig

We're looking for a Hiring Assistant to join our Worcester/Auburn office and help keep our hiring process organized, efficient, and moving forward. This is an onsite, full-time position, Monday–Friday, 8:30 AM–5:00 PM, paying $21–$23/hr.

This role is perfect for someone who is organized, personable, comfortable on the phone, and enjoys working in a fast-paced environment where no two days are exactly the same.

What You'll Handle

• Assist with reviewing and following up with applicants in our ATS system
• Contact applicants by phone, including some cold calling and consistent follow-up
• Help screen candidates and coordinate interviews
• Assist with new-hire paperwork and onboarding requirements
• Follow up with candidates to make sure required documents, trainings, and certifications are completed
• Keep applicant information, notes, reminders, and custom fields accurate and up to date
• Assist with job postings and recruiting outreach
• Help maintain an organized and up-to-date candidate pipeline
• Work closely with the recruiting and scheduling teams to support current hiring needs
• Provide a friendly and professional experience for candidates throughout the hiring process

What You Bring

• Strong communication and people skills
• Excellent organization and attention to detail
• Comfortable making phone calls and following up with applicants
• Tech-savvy and comfortable learning ATS systems, job boards, and other recruiting tools
• Ability to multitask and stay organized in a busy office environment
• Reliable, self-motivated, and able to work independently while also being part of a team
• Previous recruiting, healthcare, homecare, customer service, or administrative experience is a plus

Your Daily Flow

As a Hiring Assistant, you'll start the day by checking applicant messages, reviewing your hiring pipeline, and identifying candidates who need follow-up. Throughout the day, you'll connect with applicants, schedule interviews, help candidates move through the hiring process, and make sure important onboarding items are being completed.

You'll also help keep applicant records organized, update reminders and notes, assist with job postings, and communicate with the recruiting and scheduling teams about current hiring needs.

The goal is simple: keep candidates moving, keep information organized, and help make the hiring process as smooth as possible for everyone.
