Service writer

We are currently seeking a motivated, organized, and customer-focused Service Writer to join our Sacramento team. The Service Writer plays a critical role in coordinating service operations, supporting technicians, communicating with customers, and ensuring work orders are accurately processed and completed. This position works closely with technicians, customers, vendors, and internal departments to support generator maintenance, repairs, and related service activities.

Essential Duties and Responsibilities

Service Operations & Scheduling

• Review service schedules and make adjustments to maximize technician efficiency.
• Open, assign, and manage work orders for service technicians.
• Coordinate technician assignments and ensure work orders, parts, and equipment are ready before scheduled work.
• Monitor job progress and follow up with technicians regarding status updates and completion timelines.
• Conduct daily follow-up with technicians regarding work status and next-day schedules.
• Dispatch technicians for emergency and same-day service calls as needed.
• Review upcoming schedules to verify technician assignments, required paperwork, and parts availability.

Customer Service & Communication

• Serve as a primary point of contact for customers by phone, email, and in person.
• Contact customers to confirm service appointments and provide updates regarding service status.
• Communicate proactively regarding scheduling changes, estimates, parts availability, and completed work.
• Educate customers regarding preventive maintenance recommendations and service requirements.
• Follow up on open quotes and customer requests.

Work Order Administration

• Create and maintain accurate work orders and service records.
• Update customer, equipment, and service information within company software systems.
• Review completed work orders for accuracy and completeness, including notes, labor, parts, and service details.
• Obtain purchase orders, authorizations, and supporting documentation when required.
• Upload customer contracts, purchase orders, and related documentation into company databases.

Parts & Vendor Coordination

• Verify required parts and filters are identified and available for scheduled jobs.
• Coordinate with the Parts Department to source and obtain parts needed for repairs and maintenance.
• Contact vendors and manufacturers to obtain technical information, manuals, diagrams, and repair guidance as needed.
• Review equipment information and gather missing data necessary for parts ordering and service planning.

Administrative & Team Support

• Assist with service invoicing and billing processes.
• Support preparation of maintenance quotations and customer proposals.
• Maintain required service documentation and records.
• Participate in weekly service meetings and other departmental meetings as requested.
• Perform additional duties and special projects as assigned.

Qualifications

• High school diploma or equivalent.
• Minimum 2 years of experience in a service coordination, dispatch, service writer, maintenance administration, or customer service role.
• Strong mechanical aptitude and ability to understand technical equipment terminology.
• Excellent verbal, written, and interpersonal communication skills.
• Strong organizational and time-management skills.
• Proficiency with Microsoft Outlook, Word, and Excel.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent attention to detail and follow-through.
• Valid California Driver's License with an acceptable driving record.

Preferred

• Experience in power generation, construction equipment, heavy equipment, diesel, industrial service, HVAC, or related industries.
• Experience with work order management, dispatch, or service management software.
• Knowledge of generators, engines, or preventive maintenance programs.

Physical Requirements

• Ability to sit, stand, walk, and use a computer for extended periods.
• Ability to occasionally lift or move items weighing up to 25 pounds.
• Ability to work in an office environment with periodic visits to shop and yard areas.
