Job Description

POSITION SUMMARY

Reporting to the Director, Business Operations, this position is primarily responsible for timely and efficient processing of charitable contributions; physical and digital file maintenance of gift documentation; quality control and donation data integrity; and providing gift administrative support to fundraising staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process daily contributions from all channels including online giving, direct mail, wire/ach transfers, and transactions via Archtics ticketing application, in accordance with established policies and procedures
  • Manage physical filing system and digital repository of gift documentation for all contributions including pledges, pledge payments, outright donations, and Archtics transactions
  • Collaborate with Director, Business Operations to ensure data quality, business rules, and consistent use of the Salesforce platform to support fundraising and revenue growth
  • Run regular standard and custom reports to maintain data quality, resolve inconsistencies, and ensure accurate gift records
  • Assist Director, Business Operations with monthly and annual revenue reconciliation to ensure financial integrity and accurate gift processing
  • Manage and maintain the Google Gift Processing account; triage requests and reply to inquiries in a timely manner; elevate issues to Director, Business Operations as needed
  • Provide responsive, professional, and service-oriented support to colleagues regarding gift processing and donor records.
  • Perform other duties as assigned

QUALIFICATIONS AND SPECIAL REQUIREMENTS:

  • Minimum of two (2) years experience in gift processing, database management, accounting or equivalent experience in a high-volume data-centric role
  • Exceptional attention to detail; strong organizational and time management skills with the ability to prioritize
  • Strong written and verbal communication skills, including active listening and a commitment to responsive, professional service
  • Ability to exercise sound judgment, critical thinking, and problem-solving skills when processing gifts, interpreting gift documentation, identifying transaction or data discrepancies, and determining when additional review or escalation is appropriate
  • Ability to maintain confidential information and exercise a high level of discretion
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); strong Excel skills for data formatting, review, reconciliation, and basic reporting
  • The ability to quickly learn and leverage new technologies and tools
  • Ability to work independently and as part of a team
