Reports to: Director of Programs

Travel Requirements: Periodic travel may be required for training or business purposes.

Job Purpose

The Program Manager is responsible for executing events, speaking engagements and programs hosted virtually, offsite and in-person at the Kansas Leadership Center Conference Center. This position will include overseeing execution tasks including timeline management, technical production, program design, contractor expectations and partner relationship support across the Civic Leadership Development Unit.

Who we are looking for

The Kansas Leadership Center seeks an experienced program manager to join its Civic Leadership Development unit. This role will work closely with the Director of Programs and other key staff to execute core and custom leadership development programs and speaking engagements ensuring deliverables fall within the applicable scope and budget. This opportunity is for a detail-oriented, self-starter who has great customer service and communication skills as well as experience with project management. The ideal candidate will have exemplary organizational and time management skills and the ability to thrive in a highly collaborative, team-based environment. This role must interact seamlessly across a broad range of individuals including staff, funding partners, and external stakeholders. In addition to being flexible and a team player, this individual should be confident in their abilities but always looking to learn more. A passion for creating healthier Kansas communities and/or a desire to embody the ideas taught by the Kansas Leadership Center is also essential.

Job Responsibilities

  • Serve as a member of the Programs Team, working closely with the Director of Programs to manage and provide support for assigned programs and events as needed to ensure excellence in program delivery and participant experience.
  • Work closely with appropriate directors and teams to support efforts including but not limited to KLC Core and Custom Leadership Development Programs, Speaking Engagements, Common Good Partnerships, Elected and Appointed Officials, Community Leadership Programs, Civic Engagement offerings and other special projects that advance KLC’s mission.
  • Help to identify and innovate new processes to streamline program execution work to ensure integration and continuity among all offerings throughout the Civic Leadership Development Unit.
  • Assist with onboarding and training processes of new staff, particularly as it relates to program management processes seizing opportunities to give feedback to colleagues.
  • Serve as backup to programs team associates when capacity or availability is exhausted (front desk coverage, technology support, program delivery tasks, etc.).
  • Collaborate with the communications, business, operations and programs team to develop and execute marketing, promotion and recruitment plans for programs and events.
  • Serve as program manager for assigned programs, overseeing program execution tasks utilizing adopted project management system to track progress of work and enforce project timelines across relevant program teachers and staff.
  • Support planning meetings to ensure all materials are ready for program overseeing slide development to ensure continuity and brand standards among KLC programs.
  • Partner with the Operations Manager, Contractors, and Custom Leadership Development Partners to schedule and finalize program dates on KLC Events Calendar.
  • Serve as an administrator of Zoho One maintaining registration forms and utilizing CRM database to integrate leadership development efforts across various systems.
  • Facilitate internal program debriefs for assigned Civic Leadership Development programs providing feedback to program delivery team and ensuring handoff back to Business Office for effective project close out.
  • Review, assess, and assist with administering program evaluations to inform continual improvement in the delivery of programs.
  • Serve as project manager for assigned projects, understanding the full scope of contracts upon handoff from Opportunity Engagement Director to ensure execution of Program Delivery phase of the Opportunity Engagement Funnel including:
  • Collaborate with the appropriate Opportunity Engagement Funnel roles to coordinate the execution of all deliverables outlined in custom contracts and grant agreements.
  • Host Project Initiation Meetings to onboard all roles (Relationship Manager, Design Lead, Programs Team members) to the project and co-create project deadlines.
  • Oversee administration and execution of Speaker Bureau initiative including matching speakers, negotiating cost, executing requests and tracking relevant data with team members.
  • Responsible for setting up timeline and assignments in Zoho Projects and ensure project team members meet established deadlines.
  • Monitor project priorities (Scope, Quality, Schedule, Budget, Risk) and initiate change control process when needed.
  • Assist with development of annual budget and track expenses and revenues for program areas.
  • Other duties as assigned.

Qualifications

  • A bachelor’s degree and/or equivalent years of related working experience.
  • Three (3) or more years of experience in program development, relationship management, and/or event planning.
  • Excellent interpersonal and communication skills sufficient to express ideas both orally and in writing, to a variety of constituencies.
  • Demonstrated time management, facilitation, and organizational skills and ability to meet target goals/outcomes and timelines.
  • Demonstrated ability to receive feedback and have a growth mindset.
  • Demonstrated a high degree of initiative and willingness to accept responsibility.
  • Demonstrated ability to work with a team in a highly collaborative environment.
