Position Summary

The Maintenance Planner/Scheduler coordinates and schedules preventive, predictive, corrective, shutdown, and project maintenance work to support safe, efficient, and reliable operations. This role prepares job plans, coordinates labor, materials, vendors, and equipment access, maintains maintenance schedules and CMMS records, and tracks work performance and costs. Through effective planning, communication, and follow-up, the position supports safety, quality, equipment reliability, maintenance productivity, and production goals.

Key Responsibilities

  • Plan, scope, and coordinate preventive, predictive, corrective, shutdown, and project maintenance work. Identify required labor, skills, estimated hours, materials, tools, safety requirements, equipment access needs, and completion criteria. Maintain a prioritized backlog of ready work to support efficient scheduling and execution.
  • Develop and maintain maintenance schedules based on established priorities, labor availability, production needs, material readiness, and equipment access. Communicate schedule changes and assist in addressing execution risks.
  • Coordinate materials, services, purchasing, and cost control for planned maintenance work. Partner with Maintenance, MRO/Storeroom, Purchasing, Operations, and suppliers to ensure parts and services are identified, ordered, staged, and delivered on time within budget. Prepare and track purchase requests and related documentation.
  • Coordinate vendor and contractor activities supporting maintenance work, including scope of work, quotation request, site access, service scheduling, repair status, and service completion. Maintain required documentation, including receiving records, service reports, and expense tracking.
  • Maintain CMMS data and work management records, including job plans, work order status, equipment history, labor usage, material consumption, and closeout documentation. Track maintenance performance metrics, use work history and feedback to improve plans and processes, escalate unresolved risks, support audit and cGMP compliance, and complete assigned improvement initiatives.
  • Assist with monitoring the maintenance equipment expense budget and work with site Department Leaders and Managers to support safety, quality, reliability, and production goals.

Qualifications

Associate degree in a technical field, such as industrial maintenance, engineering technology, mechanical technology, electrical technology, or a related discipline. An equivalent combination of relevant education, technical training, and directly related maintenance experience may be considered.

4-6 years of related experience in maintenance, reliability, maintenance planning, or related technical experience in a manufacturing environment.

1-3 years of related experience coordinating planned maintenance, preventive maintenance, shutdown work, materials, vendors, contractors, or equipment repairs is preferred.

Knowledge, Skills & Competencies

  • Advanced knowledge of maintenance planning and scheduling, including work scoping, job plan development, labor estimating, material readiness, backlog management, and schedule coordination.
  • Advanced knowledge of industrial mechanical and electrical systems, parts, tools, technical documents, safe maintenance practices and ability to read and interpret schematic diagrams.
  • Strong organizational, attention to detail, time management, problem-solving, and written and verbal communication skills with the ability to learn quickly, work effectively with limited supervision, and meet deadlines in a fast-paced environment.
  • Proficiency with a computerized maintenance management system, including work orders, preventive maintenance schedules, job plans, equipment history, labor, materials, and reporting. Knowledge of JD Edwards EnterpriseOne, MaintainX, or both is preferred.
  • Advanced proficiency with Microsoft Office applications (Excel, Outlook, Copilot, PowerPoint, etc.).
  • Working knowledge of estimating, purchasing, service coordination, and maintenance expense tracking.
  • Ability to interpret maintenance data, identify constraints, monitor performance, and communicate priorities, risks, and required actions clearly.
  • Knowledge of current Good Manufacturing Practice requirements in a regulated manufacturing environment is preferred.

Physical or Work Requirements

Performs work in manufacturing, warehouse, or production environments and requires frequent standing, walking, bending, reaching, climbing, and repetitive motion throughout the shift. Employees may be required to operate machinery or powered equipment, wear personal protective equipment (PPE), work in environments with varying temperatures, noise levels, moving equipment, or manufacturing materials, and lift or move materials weighing up to 25–50 pounds. Some roles may require overtime, shift work, weekends, or extended schedules based on business needs.

Travel

National Target Base Pay Range: $63,000.00 - $105,000.00. The salary range for this position is based on national standards. For candidates in California and the New York metro, the Target Base Pay Range is $71,000.00 - $118,000.00, to reflect the cost of living and market conditions in those areas. Actual compensation will take into account a wide range of factors that are unique to each candidate, including but not limited to geographic location, education, experience, qualifications, and job-related skills. It is not typical for an individual to be hired above the midpoint of the range for their role, and compensation decisions depend on the facts and circumstances of each case. Base pay is only one component of our total rewards offerings, and we will take the full offering into consideration when presenting an offer of employment. Our total rewards package for this position may also include an annual performance bonus, Medical, dental, and vision benefits, 401(k) match, and other wellness benefits.

Pharmavite provides compensation for all overtime hours worked by non-exempt (hourly) employees in accordance with state and federal law. The need to work overtime hours will be determined by management, based on customer and business necessity to meet the needs of our business, Pharmavite may require employees to work overtime. Voluntary overtime requested by non-exempt employees must be approved in advance by the employee’s supervisor.
