Your Specific Responsibilities:

• Provides daily assistance to the Program Administrator with a variety of activities relative to the management of the area office.
• Reviews and prepares a variety of correspondence relating to the various activities of the Program Administrator.
• Reads and appropriately processes all incoming correspondence for the Program Administrator.
• Develops and/or collects data and prepares reports for the administrative decisions.
• Coordinates and arranges the Program Administrator’s calendar.
• Controls the use of all conference rooms in the office.
• Maintains all reference material for the Program Administrator and the Office Reference Library.
• Prepares various correspondences, including memorandums, survey questionnaires, etc., for the Management Analyst, (MDPRO), and unit supervisors.
• Assists employees with background screening documentation and makes appointments with information systems staff for finger printing.
• Processes separation paperwork for employees leaving the division and submits information timely to division’s HR staff.
• Provides routine forms, i.e., flexible work schedules, dual employment forms, and other routine type HR forms to employees.

Required Knowledge, Skills, and Abilities:

• Ability to understand and comprehend written documents/instructions
• Ability to effectively communicate in writing and verbally with others
• Knowledge of personnel/human resource policies and procedures
• Ability to apply rules, regulations, and policies related to general administrative principles and practices
• Ability to effectively utilize computer systems including software programs such as Microsoft Word, Excel, Outlook, Power Point, etc.

Qualifications:

• One year of administrative support experience in an office environment.
• Experienced managing calendars, scheduling meetings or interviews, and coordinating conference-room use.
