JOB SUMMARY
The Manager of Housing & Hotel Operations oversees the daily administration for Student Housing while supervising staff and ensuring effective cross-departmental collaboration and customer service. Primary responsibilities include overseeing student housing operations and caring for campus residents.
ESSENTIAL JOB FUNCTIONS
The employee in this position will have the following essential job functions:
MANAGEMENT
- Provide daily oversight and operational direction to Housing Associates regarding departmental procedures and expectations.
- Recruit, hire, schedule, train, and manage performance of part-time Housing Associate staff and Assistant Manager of the Legacy Hotel.
- Creatively adapt training methods and materials to effectively support staff development and departmental needs.
- Coordinate with Facilities to monitor, follow up on, and confirm completion of maintenance work orders for Student Housing and, as needed, the Legacy Hotel.
- Complete monthly audits of student account transactions for rent, room and board.
- Calculate and input prorated rent charges and miscellaneous fees into student accounts.
- Manage delinquent resident accounts and assist with account resolution.
- Ensure bills and invoices are processed and paid in a timely and accurate manner.
- Create and process check requests as needed.
- Schedule part-time Housing staff and provide operational coverage support as needed for the Legacy Hotel.
LEGACY HOTEL
- Maintain proficiency in Student Housing and Legacy Hotel policies and procedures, ensuring compliance and making suggestions to processes or approving exceptions.
- Supervise the Assistant Manager of the Legacy Hotel, serving as primary point of contact for questions, training and support.
- Provide administrative and front desk support for the Legacy Hotel during regular business hours.
HOUSING
- Serve as a primary point of contact for student housing residents, applicants, guests, and callers by providing professional customer service, guidance, and accurate information regarding housing policies, procedures, and availability.
- Ensure timely and accurate communication is distributed to campus housing residents.
- Process housing applications and maintain SBTS dormitory and apartment waitlists.
- Extend housing offers to qualified applicants for apartments and SBTS dormitories.
- Manage leasing contracts for Seminary dormitories, apartments, and rental houses.
- Generate and process apartment leases, renewals, and SBTS dormitory contracts.
- Oversee the lease signing process for new and renewing apartment residents.
- Create and manage apartment and SBTS dormitory assignments.
- Manage all aspects of SBTS dormitory check-in and check-out processes to ensure smooth resident transitions.
- Schedule and facilitate apartment and dormitory inspections during vacancy periods; determining post-vacate damages and charging fines accordingly.
- Facilitate housing assignments for Boyce dormitories during summer camps.
- Maintain accurate occupancy records, resident files, and all Student Housing documentation.
- Work alongside the Resident Life Coordinator to address housing-related resident concerns and issues.
- Coordinate and escort outside vendors and contractors to various campus locations as needed.
- Assist with Preview Days and Orientation events for Boyce and SBTS students.
- Coordinate and occasionally provide housing tours in partnership with the Admissions Office.
- Maintain office supplies.
- Performs other duties as may be assigned by the supervisor.
EDUCATION
The person in this position is preferred to have some college education.
EXPERIENCE
The person in this position is preferred to have two to three years of progressively responsible experience in management, property management or hospitality services. Demonstrate high-level of skill in word processing and spreadsheets. They will be able to communicate in a professional manner when speaking with residents or guests in person, over the phone, or via email. This person should be able to remain calm under significant pressure and be able to manage several details at once.
SUPERVISION
The person in this position will supervise all part-time housing staff (2-3) and the Assistant Manager of Legacy Hotel. The person in this position will report to the Director of Operations.
WORK ENVIRONMENT
The person in this position will work in a standard office environment. This person will also be walking to various departments and dorm buildings on campus. This job requires working closely with a variety of people.
EQUIPMENT
The person in this position will use the following equipment: Microsoft Office, Jenzabar, Google Drive, Maestro PMS, and normal office equipment. Will occasionally have to drive prospective guests during housing tours using a company vehicle.
