Polsinelli seeks a highly professional candidate to immediately fill an onsite Legal Administrative Assistant position in their Philadelphia office. Successful candidates for this position should possess at least 5-7 years of relevant experience directly supporting multiple attorneys, preferably in a law firm setting.

CORE RESPONSIBILITIES/REQUIREMENTS

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with meticulous attention to detail.
  • Typing, formatting, and proofing correspondence, emails, and other legal documents.
  • Managing multiple attorneys’ calendars and travel schedules.
  • Handling new client/matter intake; conflict searches.
  • Processing attorney expense reimbursements and vendor invoices using the Firm’s reimbursement software system.
  • Ability to work independently and in a team setting.
  • Ability to work in a fast-paced environment.
  • Managing files and maintaining all relevant document inclusions for the files.
  • Must be comfortable acting as an executive assistant dealing with confidential matters and communicating with clients.
  • Expert-level written and verbal communication skills.
  • Strong decision-making capability.
  • Experience and expertise in reviewing client invoices/assisting in client billing projects is preferred.
  • Other administrative duties, as needed and assigned.

Candidates must be proficient in working with the Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), particularly Outlook. Experience working with the following programs is beneficial:

  • Interaction
  • iManage
  • Chrome River
  • InTapp
  • Internet search engines

New technology/systems may be introduced from time to time so candidates must be willing to learn.
