Job Description
Opensity Solutions is recruiting for a Hospitality Lead to support our AmLaw 100 client's NYC office. This position is responsible for delivering exceptional client service and hospitality for all meetings, events, and conference room functions within a professional law firm environment. This role oversees all catering operations, coordinates closely with Information Technology (IT), Facilities, and Office Services (OS) teams, and ensures seamless execution of client-facing meetings, internal events, and executive functions. The Conference Room Hospitality Lead serves as the primary point of contact for conference room management and hospitality services, interacting professionally with attorneys, senior leadership, clients, vendors, and staff at all levels. This front-facing position plays a vital role in delivering outstanding client service. As the initial point of contact for clients and visitors, you will help ensure a seamless and professional experience. This position is on-site in the New York office 5 days a week.
Responsibilities:
- Manage daily conference room operations and ensure all meeting spaces are prepared to the highest standards.
- Review and monitor meeting schedules, bookings, and room reservations to ensure proper setup and resource allocation.
- Conduct regular inspections of conference rooms before, during, and after meetings and events.
- Anticipate and respond proactively to changes in meeting requirements and last-minute requests.
- Review reports and requests daily, and throughout the day for changes. Ensure all requests and request changes are recorded, passed onto the supporting departments as needed, and followed-up on, as necessary.
- Coordinate all catering needs for client meetings, board meetings, training sessions, firm events, and special functions.
- Work directly with approved vendors to place, confirm, modify, and monitor catering orders.
- Ensure timely delivery, setup, presentation, service, and breakdown of food and beverage services.
- Manage catering budgets and maintain accurate records of orders, invoices, and vendor performance.
- Maintain inventory of hospitality supplies, beverages, and conference room amenities.
- Partner with IT to ensure audiovisual equipment, video conferencing systems, and technology requirements are functioning properly for meetings and events.
- Coordinate with Facilities to address room setup, maintenance issues, furniture arrangements, and environmental comfort.
- Collaborate with Office Services to ensure efficient delivery of copies, packages, name tags and other services and operational support.
- Serve as a liaison among departments to guarantee a seamless meeting and event experience.
- Organize and communicate to appropriate team members related to any special concierge-related meeting needs or requests (e.g., meet-and-greets, client-sponsored functions using conference rooms, etc.), which may involve working “behind the scenes” to ensure that all issues and needs are promptly resolved and are seamless to our guests.
- Build relationships across business services partner’s organizations and within Dentons to strengthen working relationships and facilitate innovation and problem resolution.
- Perform such other responsibilities as may be assigned from time to time.
Experience & Qualifications:
- High School Diploma or equivalent
- Minimum of 5-10 years of hospitality and client service experience in professional services organizations such as law firms or financial companies
- Good judgment, discretion and confidentiality is essential.
- Strong verbal and written communication skills.
- Ability to effectively communicate with senior management, partners, clients, employees and business partners.
- Proficient in Microsoft Office Suite, conference room management software and other building applications.
- Possess good problem-solving skills and the initiative to implement solutions.
- Must have a team player, can-do attitude with a willingness to help and provide excellent client service.
- Ability to work well under pressure and handle multiple, simultaneous tasks efficiently with poise and confidence.
- This position requires frequent interaction with attorneys, executive leadership, clients, and external vendors in a fast-paced law firm environment. Flexibility to support early morning, evening, or special event requirements may be necessary to ensure elevated service delivery.
- Ability to lift or move 40 lbs. or greater
- Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
- Ability to walk, bend, kneel, stand or sit for an extended period of time.
The Compensation range for this role is 25.00 to 30.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
