Job Description

Innovative VC firm and research institute at the forefront of AI and computer science research is looking for an Events Manager to own their events programming. This is an incredible opportunity to join a small, ambitious team at an organization led by a successful entrepreneur focused on shaping how the AI research community gathers.

In this role, you'll produce signature summits, conference activations, and curated gatherings that bring together top researchers, builders, and technologists. You'll also plan local dinners and speaking engagements, oversee budgets, manage and source vendors, execute run-of-show, organize catering and entertainment, and manage invites, attendees, and event communications.

Must have previous experience in event production or programming, ideally within tech or research communities, strong hospitality instincts, and the operational precision to execute. This is a mostly on-site role based in downtown San Francisco, with some travel required for events and bi-annual team offsite.

150-210K+ DOE + equity, generous benefits, unlimited PTO, paid parental leave, and weekly catered meals.

Responsibilities:

  • Organize and execute annual signature events end-to-end, including summits, programs, activations, and gatherings at conferences.
  • Lead planning of the Annual General Meeting for venture investors and the broader community.
  • Own events at the SF office and event space, including speaking engagements, VIP dinners, and intimate gatherings.
  • Book speakers, manage venue calendars, curate experiences, and maintain the space for the community.
  • Manage events budgets, including forecasting, tracking, vendor negotiation, and post-event reconciliation.
  • Own vendor relationships, venue sourcing, contract negotiation, and logistics management.
  • Build and execute run-of-show, staffing plans, speaker logistics, and on-site operations.
  • Organize catering, entertainment needs, event schedule, and space planning.
  • Partner with the communications team on event promotion, content, and coverage strategy.
  • Manage RSVP and registration flows, guest list curation, and attendee communications.
  • Coordinate with external partners and co-hosts on programming, guest list, VIP considerations, and logistics.
  • Build and maintain systems that support a high-volume events calendar.
  • Travel as needed, both domestically and internationally, for events.

Qualifications:

  • 5-10+ years of previous experience in event production or programming.
  • Preference for someone with experience in deep tech, research, or a similar technical environment.
  • Plus, if you have experience producing events within the AI community.
  • Strong operational precision to execute events end-to-end.
  • Hospitality mindset with deep care and attention to how people experience a space.
  • Extremely organized with strong adaptability to shifting changes and needs.
  • Creative ideas and taste to curate events and experiences.
  • High ownership and can work well independently.

*Please Note: Your application will be considered for all open positions. You do not need to apply for multiple roles.
