Position Overview

We are seeking a Customer Service & Medical Records Specialist to provide front-office customer service while supporting the processing and organization of medical records.

This position will:

  • Answer incoming calls and assist patients, families, referral sources, and employees
  • Provide general administrative and office support
  • Process medical records requests in partnership with the Compliance Department
  • Organize and prepare medical records and supporting documentation
  • Maintain accurate records, spreadsheets, and tracking systems
  • Handle confidential and protected health information appropriately

Key Responsibilities

Customer Service & Office Support

  • Answer and direct incoming phone calls
  • Provide professional and courteous customer service
  • Greet and assist visitors
  • Receive, sort, and distribute incoming mail
  • Sign for and distribute packages
  • Provide general clerical and administrative support
  • Maintain an organized office environment
  • Assist with additional administrative projects as needed

Medical Records

  • Process medical records requests in coordination with the Compliance Department
  • Locate and gather requested medical documentation
  • Review records for completeness and organization
  • Organize, combine, separate, reorder, and prepare PDF documents using Adobe Acrobat
  • Maintain accurate medical records request logs and tracking spreadsheets
  • Coordinate with internal departments to obtain required documentation
  • Maintain confidentiality of patient information and protected health information
  • Follow company policies and procedures related to medical records, privacy, and compliance
  • Escalate questions or requests requiring Compliance review
  • Maintain accurate electronic and physical records

Required Qualifications

  • Some college
  • Previous medical records or healthcare administrative experience
  • Strong understanding of confidentiality and handling sensitive patient information
  • Strong Microsoft Excel skills
  • Strong Adobe Acrobat/PDF skills
  • Excellent attention to detail
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Professional, dependable, and team-oriented

Preferred Qualifications

  • Experience with:
    • Medical records
    • Health Information Management (HIM)
    • Release of Information (ROI)
    • Healthcare compliance
    • HIPAA/privacy requirements
    • Legal or regulatory requirements related to medical records
    • EMR/EHR systems
  • Previous experience working with a:
    • Home health agency
    • Hospital
    • Physician practice
    • Healthcare compliance department
    • Medical records/HIM department

  • Experienced in handling and organizing large volumes of documentation
  • Highly proficient in Excel and Adobe Acrobat
  • Comfortable following established compliance and documentation procedures
  • Able to recognize when a medical records request requires additional review
  • Professional and comfortable communicating with patients, families, healthcare professionals, and internal departments
  • Able to work independently while also collaborating closely with the Compliance team

  • Location: Sarasota, FL
  • Schedule: Monday–Friday
  • Position: Full-time
  • Work Setting: In-office
  • Pay: $19.00–$22.00/hour
