The Corporate Meeting & Event Coordinator II is responsible for independently coordinating routine event operations, including intake, calendar management, Event Center scheduling, room readiness, RSVP data, supplies, documentation, and payment processing. This role supports small campus events and provides reliable operational execution with general supervision. The role resolves routine operational issues within assigned scope and escalates issues affecting budget, scope, vendors, contracts, stakeholder expectations, or attendee experience to the assigned Specialist or Manager.
ESSENTIAL DUTIES:
- Own routine event operations intake, calendar coordination, Event Center scheduling, room readiness, and logistics checklists.
- Coordinate small campus events and standard internal meetings using established processes.
- Maintain RSVP systems, rooming lists, attendee data, supply lists, and event files.
- Coordinate routine logistics with internal partners and approved vendors, including room setup, food and beverage needs, supplies, and event materials.
- Process payments, track routine expenses, and maintain accurate documentation for reconciliation.
- Identify and resolve routine operational issues related to intake, calendar coordination, RSVP data, room readiness, supplies, and documentation. Escalate issues that affect budget, scope, vendors, contracts, stakeholder expectations, or attendee experience to the assigned Specialist or Manager.
- Provide on-site event support and help ensure the Event Center and meeting spaces are prepared and reset as needed.
- Maintain department calendars, event trackers, templates, and shared documentation.
- Serve as the Event Photo Administrator / Brandfolder Administrator for the team, including review of uploaded event photos, Brandfolder organization, tagging, metadata, labels, collections, permissions, and final approval before distribution.
- Suggest improvements to operational checklists, workflows, and customer experience.
- Maintain accuracy and annual review of Standard Operating Procedure (SOPs) documents assigned within role.
- Work occasional evenings and weekends as required by event schedules.
EXPERIENCE:
2+ years of related event, hospitality, administrative, or operations Experience preferred.
HARD SKILLS:
- Microsoft Office Suite and general PC skills
- Event intake, calendar management, and event documentation
- RSVP, attendee data, registration, or event management systems, such as Cvent
- Basic accounting, payment processing, expense tracking, and budget documentation
- Vendor, venue, catering, travel, room setup, supplies, and logistics coordination
- Event timelines, checklists, project tracking, and status reporting
- Confidential information handling and records management
- Customer service and on-site event support
- Written event communications and stakeholder updates
- Process improvement and post-event feedback documentation

EDUCATION:
Bachelor’s degree in Event Management, Hospitality, Business, Communications, or a related field preferred. Equivalent work experience may be considered based on role requirements.
WORK ENVIRONMENT:
Prolonged periods of sitting, with some standing, walking, bending, and stooping during events. Occasional lifting up to 25 pounds. Manual dexterity sufficient to operate a computer, calculator, and standard office equipment. Requires normal range of hearing and vision. May require extended hours, evenings, weekends, and travel based on event schedules.
