Job Description

The Business Office Clerk plays a vital role in supporting the daily administrative operations of our fast-paced Ambulatory Surgery Center. This position ensures smooth departmental workflow by performing front desk duties, data entry, document handling, and general administrative support. The ideal candidate is dependable, highly organized, and customer-focused, with experience in a healthcare or business office setting and the ability to maintain confidentiality and compliance standards.

ESSENTIAL FUNCTIONS:

1. Data Entry & Records Management

  • Accurately enter and update patient, vendor, and employee information into electronic systems.
  • Review data for completeness and accuracy; maintain HIPAA compliance and confidentiality.
  • Assist with report generation and internal data tracking.
  • Scan, file, and organize physical and digital documents.

2. Front Desk & Customer Service

  • Greet and assist patients, visitors, and vendors in a professional and welcoming manner.
  • Schedule appointments, verify insurance, and obtain required documentation.
  • Maintain a clean and organized reception area and follow visitor protocols.

3. Communication & Correspondence

  • Answer and route incoming phone calls; take accurate messages as needed.
  • Provide phone coverage for office staff and place outgoing calls as instructed.
  • Retrieve and distribute all faxed correspondence.
  • Receive, sort, and distribute mail and deliveries promptly.

4. General Office Support

  • Perform administrative duties including copying, faxing, scanning, and document preparation.
  • Support record management and compliance documentation.
  • Assist in maintaining compliance with The Joint Commission, HIPAA, and internal policies.
  • Participate in team efforts to enhance productivity and assist others as needed.
  • Perform additional clerical duties and support special projects as assigned.

Education:

  • High school diploma or GED with at least 6 months experience directly related to the duties and responsibilities specified.
