Art program assistant

Please note: this is a part-time, temporary assignment.

The Art Program Assistant will support planning, operational development, and collection management activities within the UCSF Art Program. The Art Program Assistant will gain hands-on experience managing a healthcare art collection that enhances patient, visitor, faculty, and staff environments while collaborating with Campus Planning staff, facilities teams, and various university departments.

The Art Program Assistant’s scope of work will include conducting site walks to verify and update artwork information, including photographs, locations, artist names, titles, media, and labels; organizing and maintaining the art database in Smartsheet; transferring records from paper files to Box and Smartsheet; confirming artwork locations in on- and off-site storage; inspecting storage areas and recommending opportunities for consolidation; researching missing collection information; identifying missing labels; and documenting visible artwork damage.

QUALIFICATIONS

Required Qualifications

• High school graduation and two years of related administrative experience; or an equivalent combination of education and experience;
• Experience with Smartsheet program
• Strong computer skills and experience with all Microsoft Office programs (i.e., Outlook, Word, Excel, PowerPoint, etc)
• Attention to detail and understanding of multi-step procedures
• Ability to set priorities under pressure
• Excellent organizational skills, ability to work independently, and ability to coordinate with multiple stakeholders
• Ability to communicate effectively with staff across UCSF Real Estate and other departments
• Ability to engage knowledgeably with artworks, artists, materials, and artistic concepts
