Range: UR URG 109 H Compensation Range: $27.16 - $38.03 The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities: The Admissions and Enrollment Operations Specialist is responsible for developing, implementing, and evaluating graduate admissions and enrollment strategies that support recruitment, application completion, matriculation, and student engagement goals for graduate programs in the School of Arts & Sciences (SAS) and the Hajim School of Engineering & Applied Sciences (Hajim). The position serves as a subject matter expert in graduate admissions processes and enrollment management, providing strategic oversight of admissions operations, prospective student outreach, recruitment initiatives, and CRM-supported communications. The position reports to the SAS/Hajim Assistant Dean of Graduate Education and Postdoctoral Affairs, is accountable to the Director of Masters Admissions in Enrollment Strategy & Operations and collaborates with academic departments while exercising independent judgment in admissions process administration, enrollment strategy execution, and data-informed recruitment planning.

ESSENTIAL FUNCTIONS

Strategic Recruitment and Enrollment Management

• Research, develop, and implement strategic recruitment initiatives designed to attract and enroll highly qualified graduate students.
• Plan and execute recruitment activities for assigned populations and programs, including virtual and in-person outreach efforts.
• Advise prospective students regarding admissions requirements, application processes, funding opportunities, and enrollment options.
• Develop and maintain relationships with academic partners, university stakeholders, and external organizations to support recruitment objectives.
• Represent the University at recruitment events, information sessions, conferences, and other enrollment-related programs as needed.
• Support campus visits, information sessions, webinars, and student engagement activities designed to enhance yield and enrollment outcomes.

Admissions and Application Management

• Coordinate and oversee graduate admissions processes from inquiry through enrollment.
• Monitor applicant progress and implement outreach strategies for admitted, deferred, and inactive applicant populations.
• Process admissions decisions, melts, and deferrals for School of Arts & Sciences (SAS) and Hajim School graduate programs, ensuring accuracy, timeliness, and compliance with institutional policies and procedures.
• Maintain current knowledge of graduate admissions policies, procedures, and enrollment regulations.

Communications and Enrollment Outreach

• Develop and execute communications strategies throughout the prospective student lifecycle.
• Create targeted communication campaigns to support inquiry generation, application completion, admission acceptance, and enrollment conversion.
• Collaborate with student ambassadors, faculty, and staff to deliver personalized engagement opportunities for prospective students.
• Manage admissions-related communications, digital content, and enrollment communications within CRM and university platforms.

Enrollment Systems, CRM, and Reporting

• Serve as a functional expert in SAS and Hajim for Slate CRM in support of admissions and enrollment objectives.
• Develop and maintain recruitment reports, dashboards, and enrollment analyses to support strategic decision-making by the school graduate dean.
• Monitor admissions and enrollment trends and provide recommendations to improve recruitment effectiveness and operational efficiency.
• Ensure data integrity and compliance through ongoing management of admissions records and enrollment data.
• Support admissions workflow enhancements, process improvements, user training, and system optimization efforts.

Fellowship and Scholarship Administration

• Manage graduate fellowship application and nomination processes.
• Support the school graduate dean to evaluate applications and recommend funding allocations consistent with institutional priorities.
• Monitor award administration, budgets, expenditures, and reporting activities.
• Maintain accurate records and ensure compliance with applicable policies and procedures.

MINIMUM EDUCATION & EXPERIENCE

Bachelor's degree and 3 years of professional experience in admissions, enrollment management, student services, higher education administration, or a related field required Or equivalent combination of education and experience

KNOWLEDGE, SKILLS AND ABILITIES

Experience with Slate preferred Experience in graduate education preferred

LICENSES AND CERTIFICATIONS

DL NUMBER - Driver License, Valid and in State As assigned, some specific programs may require a valid NYS Motor Vehicle License upon hire required
