YOUR MISSION

As our Office Manager, your mission is to ensure our workplace operates with maximum efficiency, safety, and energy while cultivating an inspiring culture for our growing team. You will take full ownership of local office operations, vendor management, and internal facilities across our sites, serving as the central point of contact for daily employee support and operational logistics. By building seamless processes and managing multi-office spaces, you will play a key role in enabling our team to perform at their best in a fast-paced environment.

THE JOURNEY

• Manage Daily Workplace Operations: Oversee end-to-end office functionality, ensuring a fully stocked, functional, clean, and welcoming environment for employees and guests.
• Facilities & Equipment Management: Act as the hands-on owner for all office equipment, IT hardware coordination, maintenance, and facility repairs to ensure zero downtime for the team.
• Vendor & Supply Chain Management: Negotiate, manage, and audit external service providers (cleaning, catering, security, office supplies, utilities), ensuring high quality and budget efficiency.
• Multi-Office Mobility & Logistics: Coordinate operations, travel logistics, and site-readiness for secondary office locations or team events when travel is required.
• Health & Safety Collaboration: Partner closely with the dedicated Health & Safety team/consultants to support local compliance, assist in logistics for safety trainings, and help maintain office safety standards.
• Internal Event & Culture Coordination: Partner with HR and People operations to organize team events, celebrate company milestones, and drive local workplace culture initiatives.

Qualifications

• Proven Track Record: Solid, hands-on experience in a similar role (Office Manager, Facilities Coordinator, or Workplace Experience Lead) in a fast-paced environment.
• Technical & Equipment Hands-on Attitude: Pragmatic, proactive approach to troubleshooting and managing office equipment and basic IT/facility needs.
• Communication & Interpersonal Skills: Excellent written and verbal communication skills with the ability to interact seamlessly across all levels of the organization.
• Organization & Agility: Strong organizational, multitasking, and planning skills, with a proven "can-do" work attitude under tight deadlines.
• Vendor & Budgeting Experience: Prior experience in managing office budgets, contract negotiation, and invoice tracking.
• Flexibility for Travel: Willingness and capability to travel to other company office locations as needed to oversee operational setups or events.
• Fluency in English and Romanian.
