Role: Pre-Award Coordinator

Department: External Resources Office (ERO)

Location: San Juan, Puerto Rico

Working in a Shared Services environment and reporting to the ERO Director, assembles the proposal and supporting documents for submission and acts as the Liaison between institutional members and stakeholders in a multicultural environment for negotiating commitments and obtaining authorizations. The Pre-Award Coordinator supports the fund-seeking, proposal writing, assembly, and submission activities of the faculty and other authorized university personnel. He/She collaborates with the Director ERO and ERO Team to support the university's strategic goals.

Essential Functions:

• Collaborate with the ERO Director, browsing, studying, briefing, classifying, and distributing funding opportunities from various websites, entities, and sources to institutional members using multiple media and social networks.
• Meet with PIs/PDs and co-PIs/co-PDs to plan for proposal submission in due time, including preparing the proposal checklist, itinerary, boilerplates, letters of institutional support and commitment, SPOC letter, preparing supplementary documents, and assembling the proposal as established in the funding opportunity guide.
• Assist institutional members in processing proposal documentation, commitment negotiations, and institutional authorizations, including completing and processing the ERO Proposal Submission Forms before submission.
• Certify that proposals and supporting documents meet institutional and funding entities’ guidelines and requirements and are ready for submission.
• Contact program officers to clarify eligibility criteria, funding entities’ requirements, proposal guidelines, and other related matters.
• Build and keep updated institutional and external data dashboards to support the proposal narrative and justify the proposed projects.
• Prepare and keep updated on the Proposals Inventory.
• Collaborate with the ERO Director to identify and coordinate resources to support project design and proposal writing, including content experts, professional writers, and specialists in project evaluation, literature research and synthesis, translation, editing, and proofreading.

Minimum Requirements:

• Education: BBA (General Management), MS in Health Sciences, or MA in Public Administration, Social Sciences, Humanities, and Natural Sciences.
• Knowledge of grantsmanship and grants management and connected with similar professionals (preferred).
• Excellent oral and written communication skills in English and Spanish.
• Available to work outside of regular work hours and in emergencies.
• Ability to collaborate with people of different educational backgrounds, cultures, and roles.
• Ability to work independently or in teams, stay focused, and finish projects on time.
• Ability to take initiative, solving different problems which may arise during day-to-day operations.
