About the Role

The Internal Contract Service-Sales Administrator is an internal administrative position focused on supporting service and sales processes, particularly the renewal of service contracts in the Czech Republic and Slovakia, contract administration, and data management in internal systems.

You will serve as a key partner to our service, sales, and customer teams. For new service contracts, your role will be to prepare the necessary documentation and closely collaborate with the sales team. For existing contract renewals, you will independently manage the entire administrative process, including customer communication, data validation, tracking signed amendments, and coordinating follow-up actions in systems such as ServiceMax (SMAX), CRM, and Salesforce.

This role is part of the service-sales administration function and is primarily an internal office-based position, working closely with the Service Dispatcher, Service Manager, Sales Team, and other departments to resolve both standard and non-standard cases.

Key Responsibilities

  • Independently manage all administrative activities related to the renewal of service and contract agreements in the Czech Republic and Slovakia, including direct customer communication, tracking signed amendments, and coordinating follow-up actions
  • Prepare supporting materials for sales representatives related to new service contracts, including customer overviews, equipment details, pricing, timelines, and other information required for commercial proposals
  • Continuously monitor the accuracy of service contract data in internal systems, particularly ServiceMax (SMAX), and ensure updates are implemented in cooperation with the Service Dispatcher
  • Enter, update, and close renewed contracts in internal systems once the renewal process has been completed
  • Identify commercial opportunities where customers do not currently have service agreements, manage follow-up activities, coordinate with sales teams, and provide reporting outputs
  • Analyze the installed base to identify customers without service contracts and work with the sales team to develop appropriate service offerings such as preventive maintenance, calibrations, and service programs
  • Coordinate internal communication between the service team, sales department, dispatcher, customer support, finance, and other departments
  • Provide internal consultancy support to sales and service teams regarding the selection of appropriate service codes and service scope based on customer requirements and application type
  • Support the Service Dispatcher in renewing larger service contracts and entering or establishing contracts in ServiceMax, particularly in cases involving non-standard configurations or more complex contract structures
  • Collaborate with the Service Manager and other departments to resolve exceptional cases, escalations, and ensure the correct flow of information

Requirements

  • Minimum secondary education; preferably in business, administration, commerce, technical, or service-related fields
  • Experience in administrative support, customer service, contract administration, order management, or service-sales processes is an advantage
  • Ability to work with large volumes of data, manage deadlines, verify information accuracy, and stay organized across multiple parallel tasks
  • Attention to detail, reliability, independence, and consistency when working with contract documentation, reports, and internal systems
  • Strong communication skills to collaborate with customers, sales representatives, service teams, dispatchers, and other internal stakeholders
  • Proficient user of Microsoft Office, especially Excel; experience with Salesforce, ServiceMax (SMAX), CRM, ERP, or similar systems is an advantage
  • Fluent Czech and good working knowledge of English for internal communication, documentation, and collaboration within an international environment
