Your opportunity:

Under the general direction of the Director, Space Planning & Management, the Facilities Coordinator is the primary point of contact for facility-related matters, who will coordinate property services, oversee maintenance and minor renovation projects, manage vendor and service contracts, and help optimize the use of physical space. The incumbent will work closely with internal stakeholders, service providers, contractors, and vendors to ensure projects are completed on schedule, building operations run smoothly, and facility standards are consistently met. They will also contribute to capital and facilities projects by developing project plans; reviewing technical documentation; preparing and revising CAD drawings; conducting site inspections; and monitoring contract performance; support space utilization initiatives, office moves, furniture acquisitions, room booking processes, and event-related facilities logistics.

In addition, the incumbent will help maintain a safe and secure environment by supporting building security; providing day-to-day oversight of OISE’s on-site security guards, including addressing operational issues, and liaising with the security service provider as required; coordinating access control processes; conducting safety and building inspections; addressing maintenance concerns; and ensuring compliance with health and safety standards.

Your responsibilities will include:

• Planning and overseeing facilities and business services operations
• Developing project schedules including milestones, critical path, timelines, deliverables and reporting
• Overseeing the implementation of minor renovations
• Scheduling ongoing property service requirements
• Determining logistical details required for internal moves
• Producing technical documentation and CAD drawings for approval
• Identifying and resolving minor building security issues
• Providing safety training and ensuring compliance to occupational safety precautions

Essential Qualifications:

• Bachelor's Degree or acceptable combination of equivalent experience.
• Minimum 5 years' recent and related experience in facilities management and administration, preferably in an academic setting.
• Demonstrated experience managing space projects and experience in the delivery of services.
• Experience coordinating moves and security access, and managing workplace inspections.
• Experience acting as the first point of contact for property and facilities issues.
• Experience conducting building inspections and demonstrated awareness of building systems, security and fire procedures.
• Identifying and reporting facility repair and/or maintenance needs in a large, complex institution. Experience submitting work orders.
• Experience planning ongoing scheduled and non-scheduled facility maintenance programs.
• Experience overseeing the implementation of renovations.
• Experience selecting appropriate contractors and consultants based on work required and inspecting completed work.
• Demonstrated experience handling multiple projects with excellent quality control and accuracy of work.
• Experience working with and drawing in AutoCAD.
• Demonstrated knowledge of Health & Safety regulations, including OHSA and WHMIS.
• Advanced skills with MS Office, including Word, Excel, Outlook.
• Strong customer service orientation; interest and ability to understand clients’ needs and ability to generate options for how those needs may be satisfied.
• Must be tactful, diplomatic and courteous in sometimes difficult situations and effective in dealing with competing requests from members of the community.
• Excellent ability to initiate projects, problem-solve, use good judgement and decision-making skills.
• Superior organizational skills, demonstrated ability to manage multiple priorities and meet deadlines within a high-volume workload.
