This position is based in Dilbeek (Belgium).

Your role:

As an Administrative Coordinator, you will play a key role in supporting our customers, primarily hospitals, by coordinating service requests and ensuring that customer needs are handled efficiently and professionally.

You will be the first point of contact for customers in Dutch- and French-speaking regions, managing requests from initial contact through to completion. Working closely with service engineers and internal teams, you will coordinate the different activities required to address customer needs, including service interventions, spare parts and on-site visits.

Your role will have a direct impact on the continuity of our customers' operations. An urgent customer request may involve patients awaiting critical treatment, making the quality, accuracy and responsiveness of your work essential.

Position requiring daily availability until 6:00 PM to ensure the coordination of activities.

Your responsibilities:

• Handle incoming calls and requests from customers, primarily hospitals in Dutch- and French-speaking regions and manage urgent requests through to completion.
• Record customer requests accurately in the appropriate systems.
• Assign or transfer requests to suitably qualified service engineers.
• Order the spare parts required to address customer requests.
• Arrange on-site service visits where necessary.
• Coordinate schedules and plan non-urgent service interventions.
• Ensure effective communication and coordination between customers, service engineers and internal teams.
• Perform a range of general administrative duties to support the service organisation.
• Manage internal communications in English.
• Ensure a high level of accuracy, completeness and responsiveness in all activities.
• Remain available beyond 6:00 p.m. when necessary, including in the event of a late customer call, until the matter has been fully addressed.

How about you?

Profile: mid‑level profile (minimum 5 years of experience)

• You have a post-secondary education (two years) or an equivalent qualification.
• You have at least 5 years of professional experience in a similar administrative or coordination role.
• You are professionally proficient in Dutch, French and English, both written and spoken.
• You are proficient in standard office software, including Microsoft Office.
• Experience with an ERP system such as SAP is desirable.
• You have excellent oral and written communication skills and are comfortable interacting with customers, service engineers and internal stakeholders.
• You have a strong customer-service mindset and know how to set priorities, stay organised and take initiative.
• You are able to manage multiple tasks simultaneously and coordinate activities across different functions.
• You enjoy working as part of a team and demonstrate a high level of accuracy, discipline and responsiveness.
• You are reliable, organised and able to remain composed and effective when handling urgent customer requests.
• You understand the importance of professionalism and commitment when supporting customers whose activities may have a direct impact on patient care.
