Job Description

Job Summary:

The Program Coordinator is responsible for supporting the administrative and operational functions of assigned non-ACGME fellowship programs, educational courses, conferences, and special events. This role provides coordination of fellowship activities, assists with the planning and execution of courses and events, supports day-to-day education operations, and collaborates with faculty and staff on educational initiatives and special projects.

The ideal candidate possesses excellent organizational, interpersonal, and communication skills; demonstrates a high degree of attention-to-detail and professionalism; and has the ability to work both independently and collaboratively in support of educational programs and initiatives.

Key Responsibilities:

  • Instructor-Fellowship Program Coordination (75%)
    • Manage the day-to-day operations for fellowship programs and fellows
    • Assist the Program Director in developing and maintaining the educational quality of the training program & ensuring compliance with accreditation standards and regulatory requirements.
    • Coordinates accreditation activities ‐ Special Reviews, Annual Program Evaluations, etc.
    • Manages the Fellow recruitment and selection process
    • Acts as an important liaison between fellows, fellowship directors, faculty, participating sites, and institutional and regulatory offices.
    • Oversee content and design on fellowship webpages on both the department internet and intranet sites and collaborate with the department IT team to implement changes and updates accordingly
  • Education Events & Operations Support (25%)
    • Coordinate, develop, organize, and evaluate department education conferences and events and other assigned department educational conferences, including but not limited to: CME conferences, faculty educator development trainings, community education outreach initiatives, etc.
    • Support the Vice Chair of Education and Academic Services Program Director with education strategic initiatives and special projects
    • Manage and track all resident and fellow training verifications requests
    • Maintain alumni database and assist with annual alumni newsletter
    • Provide cross coverage for education teammates as needed

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Applicants must meet minimum qualifications at the time of hire.

  • Intermediate Professional: Bachelor’s degree from an accredited college or university in communications, public relations, business administration, healthcare administration, or another related field. 1 year of professional level experience
  • Senior Professional: Bachelor’s degree from an accredited college or university in communications, public relations, business administration, healthcare administration, or another related field. 2 years of professional level experience
  • Principal Professional: Bachelor’s degree from an accredited college or university in communications, public relations, business administration, healthcare administration, or another related field. 3 years of professional level experience

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Preferred Qualifications:

  • Experience working with Graduate Medical programs
  • Experience organizing and working with CME conferences and event management.
  • Experience coordinating meetings including providing concise written documentation

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

  • Intermediate Professional: $48,989 - $62,314
  • Senior Professional: $52,961 - $67,367
  • Principal Professional: $60,905 - $77,471

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
